Inventory & Assets Coordinator
Job Summary
The ideal candidate Must be computer literate and willing to spend 60% of the time performing office and administrative work. They will be responsible for overseeing procurement, purchasing, inventory control, warehouse operations, and company asset management. This role ensures accurate tracking and distribution of materials related to installation operations, maintains optimal inventory levels, manages vendor relationships, coordinates vehicle and asset maintenance, and supports operational efficiency through effective warehouse and inventory systems.
Duties and Responsibilities
Procurement & Vendor Management
- Evaluate vendor relationships to identify opportunities for cost reduction, improved service levels, reliable delivery, and purchasing leverage.
- Source and qualify alternative vendors as needed.
- Negotiate pricing, payment terms, and service agreements.
- Prepare and process purchase orders.
- Reconcile purchase orders with delivery tickets and invoices and submit approved documentation to accounting.
- Support estimating and purchasing activities related to project bidding and subcontract awards.
Inventory Control & Distribution
- Oversee and approve inventory transfers.
- Maintain accurate inventory records within company inventory management software.
- Review crew usage forms daily to ensure each are filled out with the necessary information.
- Daily verify requests for materials and issue materials to crews to restock work vehicles.
- Maintain accurate documentation of inventory transfers between locations (e.g. between Vans or warehouses)
- Conduct monthly physical inventory counts of warehouse and vehicle stock.
- Perform periodic spot audits of warehouse and vehicle inventory.
- Ensure adequate stock levels to support field operations.
· Notify appropriate departments of inventory shortages and replenishment status when the need arises.
Warehouse Operations
- Manage shipping and receiving materials.
- Receive materials using forklift, pallet jack, or dolly and restock appropriately.
- Perform daily forklift inspections.
- Maintain a clean, organized, and safe warehouse environment.
- Schedule dumpster pickup and maintain surrounding areas.
- Maintain and clean parking lot.
- Pick up materials from local vendors as needed using company vehicle.
- Maintain compliance with company policies, safety regulations, and applicable program manuals (including WIS Manual requirements).
Asset & Fleet Management
- Manage and track company assets including vehicles, buildings, forklifts, monoxers, blower door sets, duct blasters, AC tune up kits, etc.
- Coordinate preventative maintenance for installation vehicles and ensure completion of required inspections.
- Maintain vehicle inspection documentation and provide periodic reporting.
Reporting & Process Improvement
- Analyze inventory management software reports to ensure data accuracy.
- Assist in developing and improving purchasing, inventory, and warehouse procedures.
- Participate in required training sessions and meetings.
Work Environment & Expectations
- Always maintain safe and clean working conditions.
- Work independently while collaborating cross-functionally with accounting, operations, and field crews.
- Report to work prepared and on time.
- Perform additional duties as assigned.
Physical Requirements
- Frequently required to walk, sit, stand, climb ladders, crawl, push, pull, and reach.
- Regularly operate material handling equipment including forklift and pallet jack.
- Ability to lift and carry up to 50 pounds.
- Frequent computer use for data entry and reporting.
- Ability to effectively communicate verbally and in writing.
Qualifications
- 3+ years of experience in procurement, purchasing, warehouse operations and inventory management.
- Experience in construction or residential installation environments preferred.
- Strong knowledge of purchasing and requisitioning procedures.
- Experience using inventory management software and Microsoft Office products.
- Forklift certification preferred.
- Strong organizational skills and attention to detail.
