The Department of Family Medicine of the Keck School of Medicine of USC provides care for every member of the family, across generations and over lifetimes. The Academic Program Assistant position for the Division of Physician Assistant Studies will provide essential administrative and operational support to ensure the smooth operation of our clinical skill workshops. The Primary Care Physician Assistant Program at the Keck School of Medicine of USC has a long and successful history of training and graduating outstanding clinicians who work in a variety of medical care settings with diverse patient populations. Our graduates are trained not only for clinical excellence, but also in the breadth of competencies required for professional leaders within the rapidly changing, medical environments of the 21st century. Responsibilities include oversight of our clinical skill supply inventory, workshop set-up and break-down, calendaring, financial reconciliations pertaining to workshops, and routine communications with clinical skill course directors.

This is a full-time, in-person position at the Alhambra, CA campus with a possibility for a hybrid schedule, based on division needs.

Duties include, but are not limited to:

  • Interfaces with PA team members and external contacts as necessary to complete assignments or for information exchange. Resolves problems or questions referred by clinical course directors or administrators.
  • Responsible for all workshop set-ups ensuring appropriate table, chair, and clinical bed configurations, along with all necessary workshop supplies (e.g. suture kits, anatomy models, etc.)
  • Assists with academic program activities (e.g., scheduling, meetings, supply ordering). Performs administrative functions related to accreditation and program review.
  • Performs duties associated with scheduling, organizing, and operating workshops and events.
  • Responsible for material production and distribution, coordinates logistics, and serves as liaison with internal/external vendors. Plans and schedules calendars based on class schedules and resolves calendar conflicts.
  • Develops and maintains electronic databases and/or other records for inventory purposes.
  • Drafts and/or generates routine communication items. Coordinates production and dissemination of documents to students as needed. Coordinates distribution of academic program materials (e.g. workshop supplies).
  • Processes and monitors routine financial transactions, researches and resolves discrepancies. Investigates and recommends vendors for services. Maintains workshop supplies and equipment and obtains vendor quotations, as needed.
  • Performs administrative and clerical tasks and duties as needed to ensure workshops are fully supported.

The hourly rate range for this position is $24.77 - $27.05. Minimum Education: Bachelor's degree. Combined experience/education as substitute for minimum education. Minimum Experience: 0-6 months Minimum Field of Expertise: Excellent interpersonal, oral, and written communication skills for interacting with both domestic and international stakeholders. Demonstrated attention to detail. Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads.
