Law Firm Administrator - Remote | WFH
Supervise and lead a team of non-attorney staff, including recruitment, onboarding, scheduling, training, development, performance management, and employee lifecycle processes.
Provide mentorship, coaching, and direction to help achieve both company and client goals.
Serve as a company ambassador, representing the firm with integrity and professionalism.
Partner with the CEO and leadership team to define and execute strategic initiatives aligned with the firm's growth and operational goals.
Act as a strategic advisor and thought partner in long-term planning and decision-making processes.
Lead the development and implementation of organizational changes, ensuring seamless integration of new processes, technologies, and systems.
Act as a liaison between departments, promoting alignment of business objectives and enhancing communication to streamline workflows.
Collaborate with the CFO to provide financial oversight, including budgeting, cost-benefit analysis, and driving financial performance. Operations Management: Lead firm-wide operations optimization by creating scalable systems and processes that drive efficiency and reduce costs.
Develop and oversee risk management and compliance strategies, ensuring operations meet legal and regulatory standards.
Spearhead the firm's technology strategy, driving innovation and ensuring the effective use of technology across all operations.
Oversee day-to-day administrative functions, including workflow management, case/matter completion, insurance policies, document and data management, virtual facility management, and general business operations.
Assist with refining trust/retainer management and billing procedures.
Collaborate closely with the Managing Attorney to ensure efficient case management and timely communication across the firm.
Develop, manage, and monitor Key Performance Indicators (KPIs) to track performance and drive improvements.
Manage vendor relationships and support operational needs in technology, office administration (virtual and home offices), and marketing.
Oversee the Potential New Client (PNC) process, ensuring efficiency and a positive client experience.
Manage the firm calendar to ensure seamless scheduling and task completion.
Provide training to attorney staff as requested.
Develop and standardize operating procedures with documentation to support daily operations.
Manage the externship program, including recruitment. Human Resources (may involve all or some duties): Oversee talent management strategies, ensuring alignment with firm goals and culture.
Drive initiatives to enhance employee engagement, retention, and productivity.
Manage payroll and benefits, ensuring compliance and a positive employee experience.
Lead full-cycle recruiting for non-attorney staff and support attorney recruitment efforts.
Manage onboarding and offboarding processes for all employees and independent contractors.
Maintain required documentation, including personnel files, and ensure compliance with federal, state, and local regulations.
Administer HR systems, policies, and processes (e.g., payroll, performance management, compensation, Employee Handbook).
Monitor attorney and paraprofessional continuing education and certifications for compliance. Additional Responsibilities: Plan and coordinate employee events and off-sites.
Foster a positive work environment and culture that aligns with the firm's values.
Assist with other duties or special projects as needed. What You'll Bring: Education & Certification: High school diploma required; bachelor's degree preferred.
Certified Legal Manager (CLM) certification is strongly preferred. Experience: 7 years of experience in a law firm administrator or law office operations management role.
3 years of supervisory experience leading a team of 10+ legal staff.
3 years of Human Resources experience, including recruitment and hiring.
Experience managing a budget of $5 million or more.
Experience working in small and mid-sized organizations.
Experience in remote-first work environments is a plus. Knowledge & Skills: Strong leadership skills with the ability to motivate high-performing teams.
Excellent interpersonal skills, with the ability to manage conflict and build trust.
Strong project management skills, able to juggle multiple projects and competing priorities.
In-depth knowledge of legal office procedures, terminology, and document management systems.
Integrity, professionalism, and confidentiality are essential.
Ability to adapt and learn new technologies quickly.
Exceptional organizational, proofreading, and attention-to-detail skills.
Strong client service mindset with excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite.
Ability to effectively communicate in English, both written and spoken. Salary: $160,000 - $180,000 per year
