Position Summary The Site Coordinator is responsible for the daily leadership, administration, compliance, and operation of EduCare Foundation’s expanded learning program at an assigned middle or high school. The Site Coordinator oversees program employees and works collaboratively with students, families, school administrators, school personnel, district representatives, community partners, and EduCare departments to provide a comprehensive program that may include academic support, enrichment, recreation, youth development, special events, and field trips. This position is responsible for creating a safe, welcoming, inclusive, and engaging environment that supports student participation, creativity, social-emotional learning, leadership, and academic success. Essential Duties and ResponsibilitiesProgram Operations and LeadershipCoordinate and manage the daily operation of the expanded learning program at the assigned school site. Plan and oversee academic, enrichment, recreation, youth-development, and student-engagement activities. Develop and maintain the site’s program schedule and monthly program calendar. Ensure programs and activities align with student needs, grant requirements, school priorities, and EduCare Foundation expectations. Assess student interests and program needs through surveys, participation data, observations, and stakeholder feedback. Use attendance, participation, and feedback data to modify programs and improve program quality. Maintain a visible and accessible presence for students during program hours. Help students identify and participate in programs that support their interests and development. Provide appropriate guidance and support to students experiencing barriers to program participation. Organize and facilitate program events, field trips, family-engagement activities, and special initiatives. Coordinate with school personnel, vendors, partner agencies, and community organizations to implement activities and bring additional resources to the school community. Ensure program spaces, equipment, and supplies are prepared, organized, and used appropriately. Respond promptly and appropriately to program, student, staffing, safety, and operational concerns. Employee Supervision and DevelopmentSupervise assigned program employees, which may include an Assistant Site Coordinator, facilitators, coaches, tutors, and other frontline staff. Establish clear employee responsibilities, work expectations, schedules, and performance standards. Assign and monitor daily employee duties, program coverage, student supervision, and activity responsibilities. Conduct regular site-team meetings and communicate relevant program and organizational information. Provide employees with ongoing direction, feedback, coaching, recognition, and professional-development support. Monitor employee attendance, punctuality, timekeeping, training completion, conduct, and job performance. Review and approve employee timecards and other required employment records accurately and within established deadlines. Support the onboarding, orientation, and site-level training of newly assigned employees. Address routine employee concerns and elevate significant performance, conduct, safety, or employee-relations matters to the Regional Manager and Human Resources. Document coaching, performance, attendance, and conduct concerns in accordance with EduCare Foundation procedures. Participate in performance evaluations, corrective-action processes, and other employment-related matters in partnership with the Regional Manager and Human Resources. Promote a respectful, collaborative, inclusive, and accountable working environment. Attendance, Enrollment, and ComplianceUnderstand and comply with applicable grant, district, school-site, and EduCare Foundation requirements. Follow the After School Program Policies and Procedures Manual and all applicable compliance procedures. Work toward established grant-year and calendar-year student attendance and enrollment goals. Actively recruit students to participate in programs, activities, events, and field trips. Monitor student registration, enrollment, participation, and attendance. Distribute, collect, review, track, and maintain required student registration and enrollment forms. Collect, review, approve, and submit student attendance records accurately and within required deadlines. Enter attendance into EduCare’s designated tracking systems within established timelines. Complete and submit attendance through the Beyond the Bell application when assigned to an applicable Los Angeles Unified School District location. Maintain accurate student sign-in, sign-out, and authorized-release procedures. Ensure required staff-to-student ratios and supervision standards are maintained. Conduct or participate in student-interest surveys and Quality Standards and Continuous Quality Improvement processes. Participate in required program observations, audits, monitoring activities, and emergency drills. Complete and submit incident reports, field-trip records, attendance documentation, and other required reports accurately and promptly. Maintain complete, accurate, confidential, and organized site records. Submit required documentation to the After School Programs, Human Resources, Finance, and other departments within established deadlines. Budget and Resource ManagementManage the assigned school-site budget and program expenditures within approved limits. Monitor spending and maintain accurate records of purchases, supplies, services, and program expenses. Obtain required authorization before making purchases or committing organizational funds. Submit receipts, invoices, reimbursement requests, and other financial documentation accurately and promptly. Use program funds, supplies, equipment, and other resources responsibly. Communicate anticipated budget needs or concerns to the Regional Manager. Communication and Community PartnershipsServe as EduCare Foundation’s primary program representative at the assigned school site. Build positive and professional relationships with students, families, school administrators, teachers, school employees, district representatives, community organizations, vendors, and program partners. Communicate program information, expectations, schedules, concerns, and updates clearly and professionally. Maintain consistent communication with the Regional Manager regarding program performance, attendance, staffing, compliance, partnerships, and school-site concerns. Collaborate with EduCare departments to support organizational initiatives and ensure effective program operations. Respond to questions and service needs promptly and professionally. Maintain appropriate confidentiality when handling student, family, and employee information. Represent EduCare Foundation professionally during meetings, training, events, field trips, and community activities. Safety and Risk ManagementFollow all EduCare Foundation, school, district, and program safety policies and emergency procedures. Ensure employees understand and follow student-supervision, sign-in and sign-out, emergency, incident-reporting, and authorized-release procedures. Monitor program areas for safety concerns and take appropriate action when concerns are identified. Report injuries, incidents, suspected abuse, unsafe conditions, and other serious concerns immediately through the appropriate channels. Participate in required emergency drills and safety training. Ensure that employees and students use program spaces, supplies, and equipment safely and appropriately. Additional ResponsibilitiesAttend required staff meetings, organizational meetings, training, professional development, and school-site meetings. Maintain current knowledge of program requirements, organizational procedures, and expanded learning practices. Support organizational events and initiatives when assigned. Perform other related duties and projects as assigned. Supervisory Responsibilities The Site Coordinator directly supervises assigned school-site employees, which may include an Assistant Site Coordinator and approximately four to twenty program employees, depending on the size and needs of the assigned site. Supervisory responsibilities may include:Establishing responsibilities and performance expectations Assigning and monitoring work Preparing or coordinating employee schedules Reviewing and approving timecards Providing coaching, feedback, recognition, and training Monitoring attendance, conduct, and performance Documenting and addressing performance or conduct concerns Participating in employee evaluations and corrective-action processes Escalating significant employment matters to the Regional Manager and Human Resources The Site Coordinator must consult with the Regional Manager and Human Resources before independently making decisions involving formal discipline, suspension, termination, compensation, leave, accommodation, or other significant employment actions. Required QualificationsEducation and ExperienceBachelor’s degree from an accredited college or university is preferred. At least two years of experience working in expanded learning, after-school, youth-development, educational, or community-based programs. At least two years of experience teaching, leading, mentoring, or supporting students from diverse cultural and linguistic backgrounds. Previous experience working with middle- or high-school students. Previous experience leading or supervising employees, volunteers, or program teams. Equivalent combinations of relevant education and experience may be considered. Knowledge, Skills, and AbilitiesKnowledge of expanded learning, youth development, student engagement, and behavior-management practices. Ability to lead employees and create a positive, accountable, and collaborative team environment. Strong organizational, administrative, planning, and recordkeeping skills. Ability to manage program attendance, registration, compliance, schedules, and documentation. Ability to establish positive and professional relationships with students. Strong verbal and written communication skills. Ability to communicate effectively with students, families, employees, school personnel, community partners, and organizational leadership. Ability to manage multiple priorities, deadlines, interruptions, and changing program needs. Sound judgment and the ability to respond calmly and appropriately to unexpected or emergency situations. Strong attention to detail and consistent follow-through. Ability to interpret and follow organizational, school, district, grant, and safety requirements. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to use feedback, participation data, and program observations to improve program quality. Proficiency with email, internet applications, Microsoft Office, databases, attendance systems, timekeeping systems, and online training platforms. Ability to learn and use additional technology required by EduCare Foundation or the assigned school district. Dependability, professionalism, adaptability, initiative, and commitment to student success. Preferred QualificationsBachelor’s degree in education, child development, recreation, psychology, social services, youth development, nonprofit management, or a related field. Experience managing an expanded learning or school-based program. Experience supervising a program team. Experience with grant-funded program requirements. Experience managing attendance, enrollment, compliance, budgets, or school-site operations. Current First Aid and CPR certification. Bilingual proficiency in English and Spanish or another language relevant to the school community. Experience working with LAUSD or another school district. Additional Employment RequirementsSuccessfully complete the required Live Scan background-clearance process before beginning employment. Provide TB clearance that meets EduCare Foundation’s current requirements. Obtain and maintain First Aid and CPR certification within 90 days of employment unless an earlier deadline applies. Complete all required organizational, district, safety, compliance, and professional-development training. Be available to work the schedule required by the assigned program and school site. Be available for occasional evening or weekend meetings, training, events, and field trips. Be willing and able to travel to school sites, meetings, training, and other locations throughout the Los Angeles area. Understand that assignment to a particular school site is not guaranteed and that reassignment may occur based on staffing, funding, enrollment, contractual, or program needs. Physical Requirements While performing the essential duties of this position, the employee may be required to:Stand, walk, sit, bend, reach, kneel, crouch, climb, and move throughout the school site. Supervise and participate in indoor and outdoor student activities. Remain standing or walking for extended periods. Regularly lift or move items weighing up to 10 pounds. Frequently lift or move program materials weighing up to 25 pounds. Occasionally lift or move items weighing up to 50 pounds. Communicate effectively in person, by telephone, and through electronic communication. Observe student activities and program environments effectively. Work Environment Work is primarily performed at an assigned school site and may take place in classrooms, offices, cafeterias, gymnasiums, outdoor recreation areas, and other program locations. The employee may experience moderate noise, active student environments, changing weather conditions, frequent interruptions, and movement between indoor and outdoor program areas.
