Assistant Office Services Manager
What we are looking for
We are looking for an Assistant Office Services Manager to support our Energy Business Unit. You will be responsible for the administration of activities assigned by the Senior Office Services Manager or the Business Unit Director. You will perform and manage tasks requiring knowledge of Microsoft Office applications and familiarity with formats and forms used by the company. You will understand our philosophy regarding behavior-based safety and play a part in eliminating unsafe practices and conditions. You should have strong organizational skills and the ability to manage multiple deadlines. You will report to the Senior Office Services Manager. You may either work a hybrid schedule and report to our Long Beach, CA office or work remotely.
How you can make an impact
- Process the business unit timesheets and expense reports on monthly basis and assist with entering of expenses for senior level staff. This includes reviewing all office staff's expense reports for accuracy and reviewing and organizing the backup documentation submitted for company credit card purchases.
- Help with New Project Set Up - set up the job files and file contracts, email and any other important information on an ongoing basis. Assist with developing procedures and forms required for all new projects in our system.
- Ordering of office supplies, safety equipment and coordination/shipment of SCS Energy clothing (typically twice per year).
- Assist with ordering all mobile phones and computers needed for the department.
- Maintain several spreadsheets for tracking employee equipment, including computer serial numbers, software licenses and other company property.
- Assist with all new hire paperwork and other communications that require follow-up from HR or Health & Safety to all staff.
- Process Service Orders and Purchase Order requests from staff, assist with the processing of Accounts Payables on a backup basis, periodic review of the Voucher Schedule and generation of reports to assist PMs with tracking open POs on their projects.
- Support the Business Unit Director with general Word processing and administrative tasks.
- Various responsibilities as assigned.
Qualifications
- Minimum of 5 years of relevant billing/accounting experience required.
- Bachelor's degree or AA degree preferred.

Pay range for this position is $60k to $80k/year depending on experience and location. This does not include bonuses or our Employee Stock Ownership Plan.
