Patient Scheduler - Radiation Oncology

The Radiation Oncology Patient Scheduler is responsible for coordinating patient care from referral through treatment start. This role serves as the primary scheduling liaison between patients, referring providers, outside healthcare facilities, and the Radiation Oncology team to ensure timely access to care and a seamless patient experience.
The Patient Scheduler coordinates appointments, obtains required medical records and authorizations, facilitates communication across multiple practices, and proactively manages patient schedules to minimize delays in treatment.
Scheduling amp; Care Coordination
- Coordinate consultations, imaging, simulation, treatment planning, and treatment appointments.
- Collaborate with referring providers, outside facilities, and internal departments to ensure timely patient care.
- Monitor patient progression through the treatment process and address scheduling barriers or delays.
- Obtain necessary authorizations, referrals, and supporting documentation prior to appointments.
Medical Records Management
- Request and track outside medical records, imaging, pathology reports, and other required clinical documentation.
- Ensure records are available for physician review before scheduled visits.
- Maintain accurate scheduling and patient information in the electronic medical record.
Communication amp; Patient Support
- Serve as the primary scheduling contact for patients, caregivers, referring offices, and the care team.
- Communicate appointment details, scheduling updates, and preparation instructions.
- Coordinate with physicians, nurses, radiation therapists, and administrative staff to support efficient patient flow.
- Provide exceptional customer service and assist patients in overcoming barriers to care, including insurance, transportation, and language needs.
What you will bring to the team
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- Minimum 2 years of healthcare experience, preferably in oncology or radiation oncology.
- Proficiency in EMR systems and Microsoft Office Suite.
- Experience in patient navigation, care coordination, or case management.
- Familiarity with radiation oncology terminology, processes, and workflows.
- Bilingual abilities preferred
