Director of Financial Services

The Director of Financial Services is a hands-on leader responsible for overseeing the organization’s day-to-day financial operations while working closely alongside bookkeeping staff. This role emphasizes practical accounting expertise, active participation in financial processes, and ensuring accurate, timely financial management across the agency. The Director partners with leadership and staff to maintain compliance, strengthen internal systems, and support informed decision-making.

Responsibilities:

• Actively work alongside bookkeepers to maintain accurate and up-to-date financial records, including general ledger, accounts receivable/payable, cash, sales, and payroll.
• Review, support, and directly assist with daily accounting functions to ensure accuracy and completeness.
• Enter and validate accounting data within financial systems, ensuring proper consolidation into the general ledger.
• Prepare and process payroll for staff and clients, maintaining permanent and compliant payroll records.
• Oversee accounts payable processes, including voucher review, cash disbursements, and payment scheduling.

Financial Reporting & Analysis

• Assist in the preparation of monthly financial statements for review by the Executive Director and Board of Directors.
• Prepare cash flow projections and monitor variances, providing timely insights and recommendations.
• Support the development of aging reports for receivables and payables.
• Contribute to annual profitability analysis and overhead cost allocation.
• Assist in agency-wide budget preparation and coordinate the annual budgeting process across departments.

Compliance & Audit

• Ensure compliance with all applicable federal, state, and local regulations.
• Maintain adherence to internal policies, procedures, and financial controls.
• Monitor staff compliance with procedures for safeguarding organizational assets.
• Coordinate with external auditors and support the annual audit process.
• Ensure appropriate and up-to-date insurance coverage is maintained.

Billing & Funding Management

• Oversee and assist with monthly billings to public funding agencies.
• Prepare cost reports and statements for funding entities, including Department of Rehabilitation, Department of Developmental Services, and Regional Centers.
• Develop and implement credit and collections policies in collaboration with the Executive Director.

Collaboration & Leadership

• Partner with program and department leaders to implement and improve accounting policies and financial procedures.
• Train, mentor, and evaluate Financial Services staff, emphasizing skill development and accuracy in day-to-day work.
• Provide practical training to staff on budgeting, financial tracking, and basic financial management.
• Allocate financial resources effectively, including staff time, systems, and tools.

Other Duties

• Perform additional duties as assigned to support organizational goals.

Qualifications

• Bachelor’s degree in Accounting, Finance, or a related field.
• Proven experience in financial management and accounting.
• Strong knowledge of state and federal financial regulations.
• Excellent organizational and leadership skills.
• Proficiency in accounting software, especially Desktop QuickBooks, and Microsoft Office Suite.
• Strong analytical and problem-solving abilities.
• Effective communication and interpersonal skills.
