Experienced Administrative Assistant and Customer Service Office Manager
Lead Administrative Assistant

We are looking for a full-time, experienced lead administrative assistant to work at our San Jose location.
Responsibilities:
- Scanning, sorting, and copying client documents
- Tax return assembly for individuals, corporations, fiduciary, and partnership returns
- Manages and monitors GoFileRoom online filing/project management system
- Answer telephone, screen and direct calls, queries from the public, and take and relay messages while maintaining firm and client confidentiality
- Maintaining calendars and arranging meetings
- Managing emails timely and professionally
- Providing brief but correct details of tax returns to clients
- Understand tax department workflow, deadlines, and key initiatives
- Effectively communicating and coordinating tasks with team members in various locations
- Willing to work overtime and weekends during the weeks leading up to major tax deadlines
Other Knowledge, Skills & Abilities:
- Ability to work in a deadline-driven environment and handle multiple projects/tasks with an attention to detail
- Advanced or expert in computer skills: All Microsoft Office Suite and Adobe programs
- Strong oral, written, and listening communication skills
- Displays independent judgment, finesse, and diplomacy in all situations
Job Type: Full-time
Pay: $30.00 - $32.00 per hour
