The Department of Physics & Astronomy is one of the largest academic departments in the School of Physical Sciences at UCI and our staff are responsible for administrative duties associated with a population of 290 people. This includes our largest faculty population of 55 faculty, 80 non-senate academics, 14 career staff and 185 graduate students. Physics lies at the forefront of our understanding of nature. It includes the study of the universe on the largest scales – astronomy and cosmology, and on the smallest – the physics of quarks and leptons. In addition, physics provides the background for high technology; lasers, nuclear power, semiconductors, and medical imaging all have their roots in physics. At the UCI Department of Physics & Astronomy, world-renowned physicists study exciting topics like quantum mechanics, gravitation, the big bang, black holes, magnetism, and superconductivity. After assessing work productivity throughout the six-month probationary period (as appropriate) along with satisfactory progress and supervisor approval, the incumbent may request a hybrid/remote schedule that fits within the unit's business needs.

Responsibilities:

The School of Physical Sciences is seeking applications for the role of Grant and Finance Analyst, primarily supporting the Department of Physics and Astronomy. The Department strives to provide quality assistance to faculty, researchers, and other academic and staff personnel affiliated with the Department to obtain sponsored awards that support research, training, and other scholarly activities. The Physics and Astronomy Grant and Finance Analyst leads the submission of Contract & Grant (C&G) proposals from all prospective sponsors including but not limited to the federal government, private foundations, and for-profit entities. The Grant and Finance Analyst develops research proposals, specifically the budget, budget justification, and supporting documentation, related to the pre-award submission process, and maintains C&G records in compliance with institutional and research sponsor policies. The Grant and Finance Analyst is the subject matter expert of the department and is responsible for all of the proposal submissions for the Department of Physics and Astronomy, including NASA, JPL, and DoD proposals where analysis of financial information or reports requires review of a variety of factors (e.g. budgets, salaries, expenses, etc). This position uses skills as a seasoned, experienced research administrator to independently develop research proposals or awards. Works on proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations. Works and advises on complex proposals and awards that may involve multiple investigators and/or multiple sub awards, task budgets, and option years.

Qualifications:

Required:

  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
  • Thorough knowledge of effective grant funding processes, procedures, and techniques, as well as finance policies, practices, and systems.
  • Ability to manage significant volume of transactions and adapt to changing priorities.
  • Ability to perform complex financial analysis and customized reporting.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.
  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.
  • Skills to work collaboratively with faculty, staff, and campus personnel.
  • Strong writing skills in a variety of styles to draft persuasive text for a variety of audiences while ensuring adherence to funding sponsor guidelines.
  • Ability to comprehend concepts and mission of the position, and initiative to create, recommend, and implement innovative policies and procedures to best satisfy those goals efficiently with team members and supervisors.
  • Demonstrated interpersonal skills at all levels within the unit; excellent service orientation and critical thinking skills; and attention to detail. Demonstrated ability using organizational skills to multi-task in a high volume environment.
  • Demonstrated ability to effectively present information verbally and in writing clearly and concisely.
  • Bachelor's degree in related area and / or equivalent experience / training
  • 3-5 years Contracts and grants pre-award experience


Preferred:

  • Knowledge of School and Department practices, relevant UC and department structure, policies, and procedures.
  • Contracts and grants pre-award experience in higher education

The expected pay range for this recruitment is $71600- $99500 (Annual).
