Office Administrator
Job Summary
We are seeking an organized and professional Office Administrator for a direct hire opportunity in Irvine, CA. This role is ideal for an administrative support professional who enjoys keeping office operations running smoothly, supporting leadership, coordinating daily activities, and contributing to a productive team environment. The Office Administrator will play a key role in maintaining an efficient, compliant, and well-organized workplace within a fast-paced construction-related environment. This position offers the opportunity to work closely with senior leadership and multiple departments while building valuable experience in office operations, administrative coordination, records management, vendor communication, and employee support. Key Responsibilities - Coordinate day-to-day office activities, workflows, and administrative processes to support a productive and compliant office environment.- Manage calendars, appointments, travel arrangements, phone calls, emails, and general correspondence for upper management.
- Maintain accurate personnel, financial, and operational records, databases, reports, presentations, and proposals.
- Support budgeting, bookkeeping, expense tracking, supply inventory, and office purchasing needs.
- Assist with new employee onboarding, HR administrative processes, and coordination with vendors, contractors, and service providers.
- Supervise administrative staff as needed, delegate responsibilities, and help ensure office procedures are followed. Compensation and Benefits - Direct hire opportunity.

- Salary range: $47,840 to $52,000 per year.

Required Qualifications and Skills
- Coordinate office operations, administrative workflows, and daily support functions.- Support senior leadership with calendars, travel, appointments, correspondence, and reporting.
- Maintain records, databases, expense tracking, office supplies, and vendor coordination.
- Assist with onboarding, HR administration, and internal office compliance processes. - Minimum 2 years of experience as an Office Administrator or in a similar administrative support role.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience using or quickly learning ERP systems and other business software.
- Familiarity with basic accounting principles, bookkeeping support, expense tracking, and detail-oriented recordkeeping.
- Strong written and verbal communication skills with a professional demeanor.
- Ability to multitask, prioritize responsibilities, and adapt to changing business needs.
- Knowledge of standard office protocols, procedures, and administrative routines.
- Valid driver's license and acceptable driving history.
- High school diploma required. Preferred Qualifications - Associate's or Bachelor's degree preferred.
- Construction or real estate industry experience is a plus.
- Experience supporting leadership, operations, HR administration, or multi-department office coordination.
- Prior experience supervising administrative staff or delegating office support tasks.
