We are looking for a remote AGENCY ASSISTANT to oversee agency administrative tasks.
This role is best suited for an integrator type and the ideal unicorn will thrive in managing our internal processes and systems, and supporting our team.
About the role
ROLE BREAKDOWN:→80% agency admin, tracking billing, tracking timelines, supporting with our client kickoff calendar
→ 10% supporting with client onboarding and offboarding
→ 10% supporting our high level team members
RESPONSIBILITIES //- Coordinate day-to-day agency admin activities to ensure project delivery and team efficiency.
- You’ll be reporting directly to the founder & CEO.
- Manage referral and affiliate partners.
- Manage and execute client invoicing and team payroll.
- Assist with client requests // scope additions, support with client escalations.
- Schedule creatives for projects and manage the agency project calendar to ensure accurate capacity measures. You’ll need some sort of design acumen to properly assign designers with projects - think of it like Hogwarts Sorting Hat task for designers!

- Support with our product shop.
- 3+ years experience in an admin role, experience managing payments and invoicing.
- HUGE bonus points for either creative agency experience, or some sort of digital agency experience.
- Client-facing communication experience and ability to communicate clearly and kindly.
- Long term commitment. This isn’t a dip in for 6 months and dip out later while you grow your own business kind of thing.
- No VA/OBM agencies please.
- Bonus points if Southern California or Austin, TX based. This is a remote position, but we love getting together for team offsites, activities and hangs!
- Very comfortable (& borderline obsessed with) working with numbers (financials, budgets, timelines) and sheets with precision.
- Proficiency in Slack, Google Drive. Bonus if you also have experience with Clickup, ActiveCampaign, Bill.com, Zapier, Dubsado, Quickbooks, Tapfiliate, Kajabi, Canva. If you’re lacking know-how in these platforms, must be willing to learn on your own time.
- Highly detail oriented & naturally triple checks everything.
- LOOP CLOSER! You’re not simply doing a task, you’re following through with completion.
- SELF SUFFICIENT! You exhaust your resources searching for (or simply ask Google) solutions to things before asking someone on the team. You must be willing to roll up your sleeves to problem solve and find creative solutions to administrative challenges independently.

We’re looking to onboard last week of May or early June
1 week TRAINING: 8 hours
1 month: part time at ~20 hours per week
Month 2: evaluate to see if a full time fit is appropriate
