Office Administrator

This role is responsible for ensuring smooth day-to-day operations of the design studio by providing consistent and efficient administrative support. It plays a key part in coordinating and managing design studio facility tours, scheduling, and communication with visitors, vendors, and internal teams.

As an integral member of HATCI’s design organization, this position supports a collaborative and organized workplace by maintaining confidential design materials, managing office resources, and improving operational efficiency. Success in this role requires strong multitasking abilities, attention to detail, and a commitment to problem-solving and continuous improvement.

By working closely with individuals at all levels—from entry-level team members to corporate executives—the role fosters a positive experience for internal “customers” and ensures the design studio functions effectively within HATCI’s broader mission of innovation and excellence.

• Obtaining quotes and purchase of office supplies, parts and equipment, etc.
• Maintaining beverages and snack orders and inventories.
• Reconciling invoices for utilities, copiers, shipping and processing other company billing.
• Track overall department operational budget
• Support business travel reservation and expense report for head of operation.
• Manage and operation of company vehicle, vendor onboarding and maintenance services / subscriptions.
• Process CR, RFQ, PR, PO and expense reimbursement.

• Bachelor’s degree (optional)
• Administrative experience preferred (optional)
• ERP experience preferred (Prior SAP exprience is a plus)
• Be proficient in MS office
