Position Overview
Farallon is looking to hire a Contracts Administration Assistant to join the Contracts Administration team in our San Francisco office. The candidate will support the Contracts Administration team and interface with investment professionals, in-house attorneys, various other global colleagues and counterparties. The ideal candidate will have excellent attention to detail, superlative organizational and time management abilities, and strong communication skills. The ideal candidate will also have a proactive and positive attitude, a resourceful mindset, and a professional demeanor.
Responsibilities
- Assist with onboarding new vendors; schedule sales introductions and legal diligence calls
- Assist with renewal paperwork; collect user interest, obtain necessary approvals from internal parties, request and collect signatures
- Provide onboarding support for new user licenses; request credentials, schedule training on platforms and services for new and existing users
- Provide new vendor details (W9, etc.) to Accounts Payable and ensure vendor contact information is up to date in our database
- Track incoming invoices and collaborate with Accounts Payable to ensure timely and accurate payments and resolve billing issues
- Process and approve invoices, confirm deliverables are received, and allocate according to the expense allocation guidelines
- Reconcile usage reports (i.e. expert network calls billed)
- Update proprietary contracts database
- Process expense reports, including charges for a large volume of subscription services
- Manage periodicals (WSJ, Financial Times, etc.) ensuring delivery and troubleshooting delivery issues
- Other special project assignments as needed to support the Contracts Administration Team, manage vendor relationships, and satisfy internal stakeholders
Qualifications
- 1+ years of administrative experience
- Ability to communicate and work in a team environment, meet deadlines, work in a fast-paced environment, and manage multiple projects
- Strong organizational, written, and communication skills
- Detail-oriented, excellent interpersonal, analytical, and judgment skills
- Self-starter and self-motivated
- Proficiency with Microsoft Office, including advanced proficiency in Excel and Outlook
- Undergraduate degree required
Compensation is competitive and commensurate with experience and expertise. The base annual salary range for this San Francisco-based position is expected to be $70,000 - $90,000. Actual salaries may vary based on factors including skills, experience, and qualifications. Employees are eligible for a discretionary bonus. The firm offers an attractive benefits package including medical, dental, and vision insurance plans and a retirement pension and savings plan.
