We are looking for a polished, proactive, and detail-driven professional to join our team in a dual-capacity role as Receptionist / Investment & Annuity Coordinator. What You'll Do
· Investment & Annuity Coordination
· Manage and process investment and annuity applications while ensuring full compliance with regulatory standards.
· Communicate with representatives within 24 hours of receiving new applications.
· Coordinate approvals, resolve application issues, and track account openings, requirements, and commission status.
· Maintain organized and accurate tracking via checklists and Excel sheets.
· Build product knowledge and serve as a key resource for advisors and internal staff.
· Act as a liaison with home office partners and provide cross-functional administrative support as needed.
· Reception & Office Coordination
· Welcome and direct visitors to the appropriate departments with professionalism and warmth.
· Manage a multi-line phone system: answer, screen, and route calls promptly.
· Maintain a clean, organized, and well-stocked reception area.
· Sort and distribute mail, manage deliveries, and handle visitor access and security protocols (e.g., monitoring the visitor logbook and issuing visitor badges)
· Coordinate office supply inventory and assist in scheduling meetings and appointments.
· Provide clerical and administrative support across departments.
What We're Looking For
· Bachelor's degree (preferred).
· 2-5 years of professional administrative or operations experience.
· Exceptional organizational skills and a strong eye for detail.
· Confident communicator with a professional and approachable demeanor.
· Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
