Medical Biller and Administrative Asssitant

Job Summary:
We are seeking a dedicated, detail oriented, and organized Administrative Assistant/Medicall Biller to join our mental health private practice. The ideal candidate will have a positive and professional demeanor, excellent communication skills, and a strong ability to multitask. This position is responsible for supporting the day-to-day operations of the practice, including managing schedules, client communications, and office administration. You will be responsible for accurately coding and billing medical claims, ensuring timely reimbursement from insurance companies. Your expertise in medical billing processes and knowledge of medical billing terminology will be essential in this role.
Responsibilities:
Scheduling and Appointments:
- Coordinate and manage the calendars of mental health professionals.
- Schedule client appointments.
- Handle rescheduling and cancellations as needed.
Client Intake and Records:
- Manage the client intake process, including collecting necessary information and paperwork.
- Maintain and update client records, ensuring confidentiality and compliance with HIPAA regulations.
- Assist clients with any questions related to their appointments, billing, or services.
Billing and Insurance:
- Review and verify accuracy of patient demographic and insurance information
- Prepare and submit electronic claims to insurance companies
- Follow up on unpaid or denied claims and resubmit as necessary
- Research and resolve any billing discrepancies or issues
- Maintain patient records and ensure confidentiality of sensitive information
- Stay up-to-date with changes in medical coding guidelines, insurance regulations, and reimbursement policies
Office Administration:
- Answer phone calls and respond to emails in a timely and professional manner.
Documentation and Reporting:
- Assist in maintaining and organizing office files and records.
Communication and Collaboration:
- Collaborate with mental health professionals and other staff to ensure seamless operations.
Miscellaneous Duties:
- Assist with special projects and tasks as assigned by management.
- Stay informed about office policies, procedures, and industry best practices.
Qualifications:
· High school diploma or equivalent; associate's or bachelor's degree preferred.
· Previous experience in an administrative role, medical biller, or similar role preferably in a mental health or medical practice.
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal skills.
· Familiarity with billing and insurance processes is a plus.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Strong problem-solving skills and ability to work independently.
· Strong knowledge of medical billing processes, including coding, claims submission, and reimbursement procedures
· Familiarity with medical terminology, ICD-9, ICD-10 codes, and CPT (Current Procedural Terminology) codes
· Proficient in using medical office systems and software for billing purposes
· Excellent attention to detail and accuracy in data entry
