Summary of the Opportunity
The Coordinator, Program Operations plays a foundational role in supporting the thousands of music teachers and students we serve each year. This position is ideal for a detail-oriented, service-minded professional who thrives on building smooth systems, solving problems collaboratively, and engaging with educators across a variety of touchpoints. If you’re passionate about helping educators feel supported, seen, and set up for success, and you’re equally comfortable coordinating logistics, systems, and cross-functional projects, this role is for you.As part of the Program Operations team, this role helps ensure a smooth experience for teachers engaging with Music Will’s workshops, classroom resources, and community-building programs. They provide direct support to educators, coordinate key initiatives like the Teacher Ambassador Program, Affinity Groups, and the Songwriting Exhibition, and help manage materials distribution and event logistics, including the Modern Band Summit. This role also supports workshop operations, teacher communications, and cross-team coordination to ensure teachers have what they need, when they need it.
This role reports to the Director, Program Services & Operations and is part of the Program department. .
Responsibilities
- Serve as the first point of contact for teacher inquiries, ensuring prompt and helpful support via email, phone, and social media.
- Facilitate a smooth transition for teachers engaging with Music Will’s professional development offerings and online resources, and continue to support recruitment, onboarding and retention efforts
- Coordinate the distribution of materials to teachers, both purchased and donated
- Assist in coordinating teacher engagement initiatives like the Songwriting Exhibition, local meetups, Jam Fests, Modern Band Summit, and the Ambassador Program.
- Support communications, coordination, and logistics for educator-facing events, including the annual Modern Band Summit and in-person or virtual workshop
- Maintain accurate teacher data and help improve processes to enhance the teacher experience.
- Perform additional tasks as needed to support program operations and teacher services.

Required Skills and Experiences
- 1-2 years of experience in education, customer service, nonprofit administration, or a related field.
- Strong organizational and time management skills.
- Experience communicating in a professional setting with various stakeholders including teachers, school administrators, vendors and staff.
- Ability to work independently and collaboratively on projects.
- Experience with Google Workspace (Docs, Sheets, Slides, Mail), as well as Microsoft Word and Excel.
- Experience with using digital communication tools such as Slack, social media platforms.
- A genuine love of music
Preferred Skills and Experiences
- Experience managing online communities or social media engagement.
- Familiarity with customer relationship management (CRM) databases (e.g., Salesforce).
- Experience with budgeting and project management software solutions and applications (e.g. Asana)
- Background in order fulfillment or sales (preferably in an education-based space)
- Background in music or education is a plus.
- Bachelor’s degree, other certification.
Compensation and Benefits
This is a full-time, non-exempt position with a starting compensation range of $25.00 - 26.45 per hour (depending on experience and skill level), and is eligible for overtime pay for hours in excess of 40 in a workweek. This is equivalent to approximately $52,000 -$55,000 annually based on 40 hours per week. Location and Travel
This position operates remotely. Occasional travel will be required, including to annual org-wide events such as the annual Modern Band Summit, staff retreat and Benefit gala.
This position may require some work outside of the normal workday to respond to urgent event logistics needs and/or to support events that occur on weekends and evenings. Flexible scheduling will be employed when possible to keep hours within 40 per workweek.
