The anticipated hiring range for this position is $22.00 to $25.00. Hiring offers will be determined based on the final candidate's qualifications and experience. POSITION SUMMARY

The Student Affairs Office Coordinator serves as an integral part of the Student Affairs Department providing support to both the Student Affairs office, as well as Counseling and Psychological Services (CAPS). This includes, but is not limited to answering calls, scheduling appointments, managing proprietary database and other general office duties. They will act as the first contact with students, individuals in crisis, parents, faculty and staff that are requesting support through the office. In addition, the Office Coordinator is responsible for coordinating and executing internal events (primarily orientation and graduation) while maintaining high levels of student satisfaction and engagement.

ESSENTIAL RESPONSIBILITIES

  • Provide constituents with information regarding the services provided by Student Affairs and Counseling & Psychological Services and other resources available on campus. Provide a warm and professional environment for students scheduling or awaiting appointments with staff.
  • Assist Counseling & Psychological Services staff with any students experiencing a mental health crisis. Follow CAPS department protocol related to triage and reporting.
  • Coordinate and execute campus orientation programs for AOS degree, Bachelor's concentration, certificate, and transfer students. Encourage campus-wide participation and support.
  • Coordinate and execute graduation and commencement exercises for AOS degree and certificate programs.
  • Participate as an effective spokesperson for Student Affairs at the CIA to students, potential students, parents, other college officials, and outside organizations. Maintain appropriate boundaries with staff, faculty, and students as an administrative representative of the college by applying accepted professional practices, published policies, HIPPA and FERPA regulations and adhering to all guidelines regarding privacy or confidentiality of data.
  • Maintain the clinical filing system and student affairs records in compliance with professional and staff licensure requirements. Follow all California regulations regarding confidentiality of information and uphold regulations that are consistent with privacy and confidentiality of licensed professional staff.
  • Work with departmental staff to implement and assess outreach programs. Assist the staff with logistical and organizational support for meetings, presentations, and departmental projects.
  • Work with Purchasing to issue tool kits to degree and certificate students as part of orientation schedule.
  • Coordinate fitting, order, and delivery of culinary, baking and service uniforms for freshmen, sophomores, certificate, and bachelor's students.
  • Coordinate and execute graduation and commencement exercises for AOS degree and certificate programs.
  • Any and all other duties as assigned.

REQUIRED QUALIFICATIONS

Education:

  • Associate's degree or the equivalent combination of education and experience.

Experience:

  • Minimum of three to six months of administrative, customer relations, or other relevant experience.

PREFERRED QUALIFICATIONS

  • Bachelor's degree preferred.
  • Onsite event planning and guest coordination experience.
  • Administration support experience in a post-secondary educational environment.

REQUIRED SKILLS

  • Prior knowledge of or the ability to learn and understand California and Federal laws regarding confidentiality and liability.
  • Ability to use sound judgment and discretion in handling sensitive issues with confidentiality and discretion and to maintain composure when handling unexpected and challenging situations.
  • Strong interpersonal skills; excellent verbal and written communication skills; ability to effectively work with multiple teams across the organization to respond to business and customer needs.
  • Ability to work independently and make decisions in support of the team.
  • Strong organizational skills with the ability to multi-task.
  • Strong computer experience which must include abilities to work effectively with MS Office suite products, i.e. Word, Excel, PowerPoint.

WORKING CONDITIONS

  • Must be able to adjust work schedule to work some nights and weekends as required by business needs; specifically in support of leadership initiatives and orientation/graduation responsibilities.
  • Must be able to work overtime on nights and weekends as required by business needs.
  • Must be able to lift and transport goods up to thirty (30) pounds with the use of pushcarts, rolling racks, and other tools.
  • Regular work requires a great deal of sitting and standing for extended periods.
