The Sr. Payroll Specialist plays a critical role in ensuring accurate and timely payroll processing for all employees by utilizing ADP payroll systems and Well Sky timekeeping software. This role supports the Payroll Manager in overseeing daily payroll operations, auditing timekeeping data, resolving discrepancies, and ensuring compliance with company policies and federal/state regulations. Essential Duties and Responsibilities Process multi-county, bi-weekly, or weekly payroll using ADP (Workforce Now, Vantage, ADP Lyric, or other relevant ADP platforms). Serve as the primary liaison for Well Sky timekeeping system, ensuring accurate collection and integration of employee hours and attendance data. Review and reconcile timecards for completeness and accuracy; troubleshoot and resolve timekeeping issues with supervisors or employees. Assist the Payroll Manager in leading payroll processing cycles and ensuring all deadlines are met. Maintain payroll records and reports for auditing and compliance purposes. Monitor and ensure compliance with applicable wage and hour laws, company policies, and tax regulations. Coordinate with HR and Finance to ensure correct employee data (e.g., new hires, terminations, deductions, benefits, PTO). Serve as the escalation point for payroll-related inquiries from employees and departmental managers. Prepare payroll journal entries and support Finance with payroll-related reconciliations. Assist in year-end payroll activities including W-2 processing, audits, and tax filings. Train and mentor junior payroll staff or other team members on payroll procedures and systems. Perform other duties as assigned. Education, Experience, and Skills Required Qualifications (Required): 35+ years of payroll processing experience, preferably in a high-volume environment. Strong working knowledge of ADP payroll software (Workforce Now, Vantage, or Enterprise). Hands-on experience with Well Sky or similar timekeeping systems. Familiarity with federal and state wage and hour laws, tax reporting, and payroll best practices. Proficiency in Microsoft Excel and other Office applications. Excellent attention to detail, analytical skills, and problem-solving abilities. Ability to handle confidential information with discretion and integrity. Strong interpersonal and communication skills to interact with employees at all levels. FPC or CPP certification (preferred but not required). Skills: Excellent attention to detail and organizational abilities. Strong written and verbal communication skills. Ability to manage multiple tasks and meet deadlines. Knowledge of HIPAA and client confidentiality regulations. Preferred Qualifications: Experience with the California Regional Center system, especially Inland Regional Center. Bilingual (Spanish preferred). Knowledge of respite codes, authorizations, and vendorization processes. Working Conditions Office-based environment; remote or hybrid work may be considered. Standard business hours: occasional extended hours as needed. Occasional travel for training or meetings. Compensation Benefits Competitive salary based on experience.
