Administrative Assistant (Irvine)
Our client, a respected leader in the real estate industry, is seeking a highly organized and detail-oriented Administrative Assistant to join their team. This role plays a key part in supporting daily operations, managing important documentation, and keeping projects and processes on track.
Key Responsibilities:
Maintain and organize company records, contracts, and key documents (current and archived).
Track expiration dates for agreements, licenses, and permits; prepare and distribute reports.
Follow up on pending documents and payments to ensure timely completion.
Assist with applications, renewals, and document submissions.
Coordinate with project teams to maintain accurate property and ownership records.
Prepare compliance-related documentation based on contractual requirements.
Compile information for reports and maintain centralized databases.
Support billing, invoicing, and expense tracking.
Assist with administrative needs for audits, requests, and special projects.
Bachelor's degree required
Strong organizational skills with excellent attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong written and verbal communication skills
Ability to maintain confidentiality and handle sensitive information with discretion
