School Accounting Technician
- Receives cash deposits, prepares and reconciles cash boxes, and keeps accurate records of cash received from events.
- Prepares and submits quarterly sales tax reports.
- Prepares and submits financial records for district office, administrators, and club advisors for a variety of ASB funds.
- Processes athletic official payments, submits reports to EDD, and withholds garnishments.
- Processes all ASB account receivables and payables.
- Trains advisors, students, and others on the proper methods to request payments, make purchases, and other financial procedures.
- Prepares bank deposits, processes checks, and reconciles monthly deposits to the various ASB accounts.
- Compiles 1099 information for the Office of Business Services.
- Submits timesheets for ASB workers.
- Maintains ledgers of appropriations, encumbrances, expenditures, and unencumbered balances for various funds and accounts.
- Recommends cash management decisions in relation to the school bank accounts.
- Performs and oversees the storage, inventory, repair, and issuance of textbooks to teachers, and students, including the ordering, prepping, and recording of the textbooks in the textbook tracking software. Contacts vendors, facilitates purchase orders, and works with purchasing department to acquire proper textbooks.
- Updates textbook software and accounting software as needed with student data and updates to the programs.
- Works with parents to resolve textbook and fine issues.
- Prepares fine notices and collects fines as necessary. Communicates with other schools when dealing with intra-district transferring students.
- Operates a bookstore selling school items and collecting payments for tickets, rentals, lost books, locks, P.E. uniforms, and all permissible school fees.
- Leads the work of students, clerical staff, and campus employees who assist with bookstore activities.
- Works with others to resolve outstanding balance issues.
- Analyzes invoices in preparation for payment to ensure funds are being used properly.
- Works with vendors about billing, shipment, and other issues.
- Attends financial meetings as required.
- Assists with the preparation of the annual ASB budget and recommends cash management decisions in relation to the school bank accounts.
- Establishes and maintains pertinent files and records.
- Submits all financial records for annual audit.
EMPLOYMENT STANDARDS
Education and Experience : Graduation from high school or equivalent supplemented by accounting courses, and two years of experience equivalent to full-time work in financial record keeping, including some experience in handling large amounts of cash. Retail experience is desirable. Additional experience may be substituted for supplemental education. Experience working in a school setting is highly desirable. Part-time work experience will be considered and adjusted appropriately. Any other combination of training and experience which would likely provide the required skills, knowledge and abilities may be considered. Knowledge of :
- Methods, practices, procedures, and terminology used in bookkeeping and financial record keeping.
- Current office practices, procedures, and equipment.
- Methods for collection and disposition of cash.
- Collect, count and record monies pertaining to student functions in an efficient and accurate manner.
- Operate a keyboard, computer, related software, and calculating equipment.
- Make arithmetic computations rapidly and accurately.
- Interpret and communicate financial policies and procedures.
- Lead and provide direction to others.
- Be flexible and adaptable to changing priorities.
- Be self directed and work with frequent interruptions.
- Work cooperatively with others.
SELECTION PROCEDURES
Applications will be accepted from the general public and district employees who possess the above qualifications. The district reserves the right to invite applicants whose qualifications most closely meet the requirements needed for the position to continue in the examination process. The examination may consist of an evaluation of training and experience, multiple choice, performance, and oral/technical exams. Persons needing reasonable accommodation must notify the Office of Personnel Services by the last day to file. A qualifying score must be achieved on all portions of the examination in order to be placed on the open eligibility list. Outside and district candidates will be placed on one ranked list, with eligible permanent district employees receiving five seniority points which will be added to their final scores.
