We are seeking a dedicated and detail-oriented Unit Administrative Assistant to join our dynamic team within the Hospital & Health Care industry. In this pivotal role, you will provide essential administrative support to ensure the smooth operation of our unit, facilitating effective communication within the team, and enhancing the overall patient care experience. As a Unit Administrative Assistant, you will be responsible for managing schedules, coordinating meetings, and handling correspondence while maintaining confidentiality and professionalism. Your ability to multitask and prioritize will be crucial as you interact with various stakeholders, including medical staff, patients, and their families. You will play a critical role in data entry and management, maintaining accurate records, and ensuring compliance with health regulations. Your organizational skills will help streamline operations, while your willingness to assist in various tasks will be key in maintaining a productive work environment. About the Job

  • Manage incoming and outgoing communications, including phone calls, emails, and correspondence.
  • Schedule appointments and coordinate meetings for unit staff as needed.
  • Ensure accurate data entry into patient management systems and maintain organized filing systems.
  • Assist in the preparation and distribution of departmental reports and documentation.
  • Monitor inventory of office supplies and order necessary materials as directed.
  • Support financial processes by tracking departmental expenditures and managing invoices.
  • Assist in the onboarding process for new staff by scheduling orientation and preparing necessary materials.

Requirements

  • High school diploma or equivalent; additional education or training in administrative support or healthcare preferred.
  • Proven experience in administrative roles, preferably in a healthcare setting.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills with a focus on professionalism and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic health records systems.
  • Strong attention to detail with a commitment to maintaining accuracy in all tasks.
  • Ability to work collaboratively in a fast-paced environment while demonstrating a positive attitude.
