Program Data Administrative Assistant

Summary:
Village for Vets is seeking qualified candidates to join our team as a Program Data Administrative Assistant. This role provides high-level administrative support to executives or management personnel, ensuring efficient operation of their offices. Additionally, this role is responsible for accurately inputting, updating, and maintaining data within the organization's databases and systems.
Admin Responsibilities:
· Prepare and edit documents, presentations, and reports for internal and external distribution.
· Maintain accurate records, files, and databases, ensuring confidentiality and accessibility as needed.
· Organize and prepare agendas, materials, and facilities for meetings.
· Take meeting minutes, distribute action items, and follow up on pending tasks as directed.
· Handle administrative tasks such as expense reporting, invoice processing, and budget tracking.
· Assist in special projects, research assignments, and other tasks as delegated by executives.
· Build and maintain professional relationships with clients, vendors, and other stakeholders.
· Collaborate with internal teams to facilitate communication and coordination across departments.
Data Responsibilities:
· Develop and format systems for accurately gathering data from various programs.
· Input, update, and verify data entries into databases and other electronic systems.
· Ensure accuracy and completeness of information while maintaining data integrity.
· Organize and maintain databases, including data cleansing, de-duplication, and archival activities.
· Retrieve information from databases and generate reports or queries as requested by users.
· Maintain proper documentation and records related to data entry and management activities.
· Implement quality control measures to ensure data consistency and reliability.
Minimum Qualifications
· Bachelor's degree or equivalent lived experience
· 3-5 years of experience in an administrative/support position
· Exceptional keyboarding skills
· Familiarity with data management software and tools, such as Microsoft Excel, Access, or CRM systems.
· Proficient in database management
· Proactive self-starter with the ability to work independently
· Willing to help with tasks not already defined.
· Ability to set priorities and multi-task effectively
· Exceptional follow-through and ability to complete projects thoroughly and in a timely manner
· Excellent interpersonal and customer service skills - must get along well with others, be courteous and respectful, and be comfortable communicating with both staff and members of the community
· Ability to manage sensitive and confidential information with integrity
· Interest in methods to improve and promote quality
· Must demonstrate excellent attendance and be punctual by consistently being on time to work, meetings, and appointments
· Must be enthusiastically committed to the well-being of the department and the mission of the agency
Job Type: Full-time
Pay: $57,000.00 - $60,000.00 per year
