Leadway International, Inc. is a growing wholesale distributor serving customers across North America. We're looking for a motivated, organized, and detail-oriented Administrative Coordinator to support our headquarters in Hayward.

Whether you're a recent college graduate or have 2–5 years of stable office experience, this position offers the opportunity to build a strong foundation in business administration while working alongside experienced professionals across multiple departments.

This role reports directly to the HR Manager / Office Manager and provides administrative support to help keep our daily operations running efficiently.

What You'll Do

As an Administrative Coordinator, you'll support a variety of office functions, including:

  • Provide day-to-day administrative support to multiple departments.
  • Prepare employee timesheet and time-off reports for management review.
  • Maintain organized electronic and physical filing systems.
  • Coordinate office supply purchasing and inventory.
  • Schedule vendor services, office maintenance, and facility appointments.
  • Maintain company vehicle registration records and renewal documentation.
  • Prepare onboarding documents and maintain personnel files.
  • Distribute employee benefit information and company communications.
  • Assist with meeting scheduling, employee events, and company activities.
  • Support special administrative projects and process improvements.
  • Perform general office administrative duties as assigned.

Qualifications

  • Associate's or Bachelor's degree in Business Administration, Management, Communications, Hospitality, Economics, or a related field preferred.
  • Recent graduates are encouraged to apply.
  • Candidates with 2–5 years of stable administrative, office support, customer service, or coordinator experience are also encouraged to apply.
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to handle confidential information professionally.
  • Bilingual in Chinese or Vietnamese preferred.
  • Excellent written and verbal communication skills.
