Executive Assistant
Job Summary
We are seeking an experienced Executive Assistant for a direct hire opportunity in Ventura, CA. This highly visible role will provide high-level administrative, governance, communication, and project support to the President and CEO while serving as a key liaison to the Board of Directors. This is an excellent opportunity for a polished, proactive, and highly organized executive support professional who enjoys working closely with senior leadership. Success in this position requires professionalism, strong follow-through, and the ability to build trusted working relationships with executives, Board members, internal teams, external partners, and community stakeholders. Key Responsibilities - Provide high-level administrative support to the President and CEO, including calendar management, travel coordination, meeting planning, correspondence, and special events.- Serve as the primary liaison between executive leadership and the Board of Directors, supporting Board and committee meetings from planning through follow-up.
- Prepare agendas, Board packets, meeting materials, minutes, governance records, reports, presentations, and executive communications.
- Track action items, deadlines, Board directives, project deliverables, and follow-up activities to ensure timely completion.
- Lead and support executive-level projects, strategic initiatives, process improvements, and confidential assignments.
- Coordinate communication with internal departments, external partners, regulators, community stakeholders, and other key contacts. Compensation and Benefits - Salary range: $81,000 to $100,000 per year.

Required Qualifications and Skills
- Provide executive administrative support to the President and CEO.- Coordinate Board of Directors and committee meetings, including agendas, minutes, packets, and governance records.
- Manage executive calendars, travel, meetings, communications, reports, presentations, and confidential documents.
- Track executive projects, action items, deadlines, deliverables, and follow-up activities. - Bachelor’s degree in business administration, public administration, communications, or a related field preferred.
- At least five years of executive administrative support, executive services, or project management experience supporting senior-level executives.
- Experience supporting C-level executives in a highly visible and confidential environment.
- Strong understanding of Board governance practices, executive meeting processes, and professional recordkeeping.
- Advanced proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
- Excellent written communication, verbal communication, organization, project management, and follow-up skills.
- Proven ability to manage multiple priorities, meet deadlines, maintain accuracy, and exercise sound judgment.
- High level of professionalism, discretion, confidentiality, and relationship-building ability. Preferred Qualifications - Previous experience supporting a Board of Directors, executive committees, or governance-related functions.
- Experience preparing Board packets, agendas, meeting minutes, executive correspondence, and governance records.
- Executive calendar and travel management experience.
- Presentation, report development, meeting planning, and event coordination experience.
- Confidential document management and process improvement experience.
- Supervisory experience is a plus.
