Law Firm Receptionist

Job Overview :
We are seeking a friendly, professional, and reliable Receptionist to be the welcoming face of our office. The ideal candidate will thrive in a fast-paced environment, deliver outstanding customer service, and ensure smooth daily operations through strong administrative support. This is a key front-line position requiring a positive attitude, strong organizational skills, and the ability to manage confidential information with discretion.
Key Responsibilities :
- Greet clients and visitors with a warm, professional demeanor, ensuring they feel welcomed and supported
- Answer, screen, and direct phone calls promptly and courteously; take accurate messages as needed
- Maintain a clean, organized, and presentable reception area
- Handle daily administrative duties including filing, data entry, document preparation, and scanning
- Manage calendars, schedules, and appointments to support efficient office operations
- Use office software such as Microsoft Office and Google Suite; experience with CLIO and Lawmatics is a plus
- Proofread outgoing correspondence and reports to ensure accuracy and professionalism
- Collaborate with team members to support office-wide activities and communication
- Maintain confidentiality when handling sensitive documents and client information
- Provide excellent customer support by addressing inquiries or issues with tact and professionalism
- Perform other related tasks and projects as assigned
Qualifications :
- High school diploma or equivalent required
- Prior experience as a receptionist or in a similar customer service role
- Outstanding communication and interpersonal skills
- Exceptional organizational and time-management abilities
- Proven ability to manage multiple tasks in a fast-paced environment
- Proficient in Microsoft Office and Google Suite
- Bilingual or multilingual candidates are encouraged to apply
- High level of computer literacy and adaptability to office systems
- Reliable, punctual, and committed to a team-oriented work culture
- Demonstrated ability to handle confidential information with integrity and discretion
