About the Role
The Payroll Administrator ensures employees are paid accurately and on time by managing payroll processes, maintaining records, and ensuring compliance with regulations. The Payroll Administrator works in preparing and completing all federal, state, and local payroll tax reporting; researching and resolving employee pay discrepancies. Requires experience and specialized knowledge. On-site role - work from our Los Angeles office.
Principal Duties and Responsibilities (Essential Functions**):
Responsibilities:
- Prepare, review and process time records for all hourly & salary employees
- Help prepare standard and exception employee record changes and payroll transactions
- Answer various employee and management queries regarding payroll information
- Prepare, review and approve all requests for payroll checks to be processed outside of the payroll system
- Prepare and submit payroll with our PEO (Calculating wages, overtime, and deductions, and processing payments.
- Help maintain, archive and secure all required payroll related data and records required by the company and governmental authorities including tax information
- Maintain balancing reports for payroll totals for Finance
- Partner with Finance department to ensure smooth payroll operations
- File employee change paperwork and absence requests weekly
- Ensure compliance with federal, state, and local tax laws and regulations
- Generate payroll reports for management and other stakeholders, including:
- EEO-1 and CA Pay Data Annual Reports
- Bi-Weekly Overtime Reports for COO
- Monthly OT Reports for CFO
- Monthly OT reports to Facilities Mgmt. for LG Implants
- Ad hoc reports
- Meal Penalty Tracking: Administer warnings to employees that incur them.
- Update HR Intranet page monthly to reflect anniversaries and birthdays
- Partner with HR Business Partner to ensure hours in time and attendance for those on a leave of absence.
- Register business in states that require registration. Maintain and ensure proper reporting
- Other duties as assigned within scope of role
Required Skills:
- Proficient with the Microsoft Office Suite, including strong Excel skills
- Strong analytical, problem-solving and organization skills
- Excellent verbal, written and interpersonal communication skills
- Able to communicate with professionals at all levels
- Able to be discreet with confidential/sensitive information
- Able to work independently and take initiative
- Able to adapt to changing priorities
- Able to work on multiple projects with accuracy and efficiency, while keeping to deadlines
- Detail-oriented
Qualifications:
Education:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Experience:
- 5+ years of general payroll experience
- Experience working with a PEO (Professional Employer Organization) is highly preferred.
- Experience in the Entertainment/Media and/or Technology industries is highly preferred.
