Marketing Project Coordinator
The Project Coordinator leads the end-to-end execution of marketing projects, in alignment with brand goals and provides timely delivery of marketing efforts. Manages the marketing queue, coordinates stakeholders and vendors, and maintains organized assets. Oversees CallRail tracking, CRM list accuracy, and Salesforce reporting to drive data-based decisions. Prepares KPI summaries for leadership, enforces deadlines, and holds teams accountable. Builds strong vendor relationships and continuously identifies process improvements to increase efficiency and marketing impact.
PRINCIPLE DUTIES:
- Own the coordination and management of marketing projects (Direct mail, digital ads, etc.) from concept through completion, ensuring alignment with community’s brand and marketing goals.
- Maintain and manage the marketing project queue, proactively updating progress and keeping all stakeholders (internal teams, vendors, mail houses, and on-site staff) informed and on track.
- Take full responsibility for uploading and organizing assets in a digital asset management platform, ensuring centralized access and brand compliance.
- Manage call tracking phone numbers, ensuring proper setup and adherence to best practices.
- Pull together mailing lists for campaigns from the CRM and prospect database; maintain list accuracy, keep data clean, and own the process to ensure reliable campaign targeting.
- Ensure timely execution of projects by holding Marketing leadership and teams accountable to deadlines and driving alignment across all stakeholders.
- Manage and develop internal reporting and KPIs, including preparing quarterly summaries and ensuring insights are shared with leadership for marketing overview meetings.
- Oversee Salesforce reporting functions to ensure data accuracy and reliable measurement of marketing performance.
- Manage vendor relationships, assigning work appropriately, monitoring performance, and escalating issues to hit all deadlines.
- Analyze trends across projects and processes, identifying opportunities for efficiencies and continuous improvement.
QUALIFICATIONS:
- Bachelor’s degree in?Marketing, Communications, Business, or a related field preferred.
- 3–5 years of experience in project coordination, marketing operations, or related role.
- Demonstrated ability to independently manage multiple projects and deadlines with accountability.
- Strong communication and leadership skills with the ability to influence, align, and drive action across teams.
- Proficiency with project management tools, CRM systems (Salesforce preferred), and digital asset management platforms (Brandfolder a plus).
- Proficiency with Microsoft Office Suite and, Smartsheets
- Experience with call tracking tools (CallRail preferred) and reporting best practices.
- Analytical mindset with experience in reporting, tracking, and translating data into insights.
- Detail-oriented, resourceful, and solutions-focused with a track record of driving projects to completion
