Administrative Support Specialist

Responsibilities

  • Provide administrative support to the investment team including calendar management, meeting coordination, and travel arrangements.
  • Prepare and organize documents, presentations, and reports as needed for internal and external stakeholders.
  • Assist in managing and maintaining databases, filing systems, and office supplies inventory.
  • Serve as a point of contact for internal and external communications, managing phone calls, emails, and inquiries effectively.
  • Coordinate logistics for meetings, events, and conferences to ensure smooth operations and optimal engagement.
  • Assist with onboarding new team members and maintaining necessary HR documentation and records.
  • Support ad-hoc projects and initiatives, contributing to a collaborative and efficient work environment.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • 2+ years of professional administrative experience, preferably in a dynamic fast-paced environment.
  • Strong organizational skills with a keen attention to detail and the ability to multitask effectively.
  • Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaborative tools such as Slack or Zoom.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • A proactive, service-oriented attitude with a focus on problem-solving and enhancing team efficiency.
