CalOptima Health is currently seeking an experienced and highly organized Executive Assistant to join its Operations Management team in Orange, California. As an Executive Assistant, you will provide comprehensive administrative and operational support to senior executives, including Chiefs and Executive Directors. This position requires strong organizational abilities, exceptional communication skills, discretion, and the ability to manage multiple priorities while maintaining confidentiality at all times.
Key Responsibilities Include:
- Managing executive calendars, appointments, meetings, and speaking engagements
- Coordinating meeting schedules while prioritizing executive needs and commitments
- Preparing presentations, reports, meeting materials, and taking meeting minutes when required
- Supporting ongoing projects and administrative initiatives under executive direction
- Following up on assigned projects and monitoring progress across departments
- Coordinating travel arrangements, conference registrations, and related logistics
- Handling administrative approvals, timekeeping, and document processing on behalf of executives
- Maintaining organized executive files, records, and confidential documentation
- Processing invoices, expense reports, and department-related financial documentation
- Assisting with departmental operations, planning, and administrative coordination
- Managing incoming and outgoing correspondence according to company procedures
- Answering phone calls, greeting visitors, and directing inquiries professionally
- Supporting inventory management and departmental supply ordering
- Assisting with budget tracking and administrative reporting
- Providing support for legal services and Board meeting preparation activities
- Collaborating with administrative staff and internal teams to support departmental objectives
- Completing additional projects and duties assigned by leadership
Required Qualifications and Skills:
- High school diploma or equivalent qualification required
- Minimum of five years of executive administrative support experience
- Strong proficiency in Microsoft Office applications including Word, Outlook, Excel, and PowerPoint
- Excellent verbal and written communication skills
- Strong analytical, organizational, and multitasking abilities
- Ability to work independently and exercise professional judgment
- Experience handling confidential and sensitive information with discretion
- Ability to manage multiple projects in a fast-paced environment
- Flexible availability for occasional evening and weekend events
- Strong interpersonal skills with the ability to work effectively with diverse teams and stakeholders
Preferred Qualifications:
- Bachelor’s degree in Business Administration or a related field
- Project coordination or healthcare administrative experience preferred

Work Environment:
