Customer Service Coordinator

Grover Landscape Services is seeking a highly organized and customer-focused coordinator to support our Tree Service Division. This role is central to the coordination between customers, estimators, and internal teams.

The Coordinator will manage customer communication, schedule estimates, coordinate field activities, and ensure a smooth experience from initial inquiry through job completion. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

You will work closely with estimators, managers, and customers, playing a key role in maintaining strong relationships and ensuring operational efficiency.

Key Responsibilities

· Coordinate customer inquiries and serve as the primary point of contact for tree service requests

· Schedule and manage estimator appointments and calendars

· Communicate with customers regarding estimates, scheduling, and job updates

· Conduct follow-up calls to maintain strong customer relationships and ensure satisfaction.

· Handle customer concerns and complaints, coordinating with management for resolution

· Assist with tracking billing, job status, and administrative documentation for other departments

· Maintain organized records of customer interactions and job progress

· Support internal communication between field teams, estimators, and management.

· Ensure timely and accurate coordination from estimate to job completion

Qualifications:

Required

• Strong communication and interpersonal skills

· Comfortable on the phone and able to handle a high volume of customer calls with confidence and professionalism.

· Excellent organizational and multitasking abilities

· Customer service-oriented mindset

· Proficiency with Microsoft Office (especially Outlook, Excel, and Word)

· Ability to work independently and stay organized.

Preferred

• Experience in administrative or coordinator roles

• Experience in construction, landscape, or service-based industries

• Familiarity with scheduling systems or CRM software

• Basic understanding of billing or job tracking processes
