Position Summary
The Executive Liaison provides comprehensive administrative, operational, and relational support to the executive leadership of the Ministerial Association of Colusa County, Inc. (MACC), including the CEO, CFO, and other members of the C-suite. This trusted role manages a wide variety of sensitive responsibilitiesensuring the smooth functioning of the executive office, assisting with board and committee coordination, and serving as a bridge between the C-suite, staff, external partners, and community stakeholders. The Executive Liaison must operate with the highest degree of discretion, professionalism, and spiritual sensitivity in a faith-based nonprofit environment.
Key Responsibilities
Executive & Office Support
- Manage the calendars of the C-suite, including scheduling internal and external meetings, appointments, and events.
- Arrange complex travel itineraries, compile briefings, and prepare logistics for executive-level meetings and site visits.
- Screen incoming calls, mail, and email for the executive office; draft responses or route communications as appropriate.
- Compose, proofread, and prepare confidential correspondence, reports, and memoranda.
- Review and sort executive mail and manage general office email; route inquiries to appropriate departments.
- Oversee the day-to-day functions of the executive office, ensuring an organized, efficient, and welcoming environment.
- Always Maintain high confidentiality standards; sign and adhere to a confidentiality agreement.
Board & Committee Coordination
- Serve as liaison to the Board of Directors and board committees; schedule meetings, prepare agendas, take minutes, and distribute materials in a timely manner.
- Maintain official records, meeting documentation, and retention systems for board and committee files.
- Coordinate the flow of administrative procedures and policy communications from the Executive Team to the board and broader organization.
Administrative Compliance & Records Management
- Maintain and file corporate records, government compliance documents, and legal filings in coordination with the executive team and legal counsel.
- Act as custodian of corporate and administrative documents, including licenses, registrations, and legal records.
- Coordinate with the Chief Financial Officer on implementation and tracking of the executive operations budget.
- Communicate with external attorneys or compliance consultants at the request of the C-suite.
Community and Staff Relations
- Act as a liaison between the executive team and MACC staff to ensure alignment with executive priorities and respectful internal communication.
- Represent the C-suite at internal and community meetings as needed, particularly when sensitive or confidential issues arise.
- Present charitable requests and special concerns to the Executive Committee for consideration and follow-up.
- Ensuring internal service to neighbors, donors, volunteers, and external partners reflects MACCs values of faith, dignity, and excellence.
Project & Event Coordination
- Maintain the organization-wide events calendar and assist with scheduling space, catering, logistics, and materials for executive or board events.
- Review travel requests and other executive-level approvals for alignment with budget and policy.
- Create and maintain executive-level databases, spreadsheets, and tracking systems as assigned.
- Support special projects or strategic initiatives of the C-suite.
Qualifications
Required:
- Bachelors degree in business administration, Communications, or a related field; OR
- An equivalent combination of education and directly related experience (typically, substituting one year of relevant executive support experience for each year of education).
- Minimum of 5 years of experience supporting executive leadership, preferably in a nonprofit, public agency, or faith-based setting.
- Exceptional written and verbal communication skills.
- Advanced proficiency with Microsoft Office Suite, Google Workspace, and video conferencing platforms (Zoom, Teams).
- Excellent organizational, time management, and follow-through skills.
- Proven discretion and sound judgment handling confidential information.
Preferred:
- Experience supporting a governing board or coordinating legal or corporate filings.
- Familiarity with nonprofit governance, budgeting, and compliance requirements.
- Demonstrated alignment with Christian values and experience working in a mission-based organization.
Work Environment & Physical Demands
- Primarily based in an office setting in Colusa; occasional travel throughout MACCs service area is required.
- May require evening or weekend hours to support board or executive events.
- Must be able to lift up to 30 pounds occasionally.
