What You'll Do

As an Office Experience Specialist in BCG’s San Diego office, you’ll play a central role in delivering an exceptional, welcoming, and highly functional workplace environment. Part of a collaborative, service-oriented team, you'll independently manage daily office operations, proactively coordinate facility improvements, and deliver consistently high-quality support for internal meetings, events, and affiliation activities. You’ll act as a key liaison with vendors, facilities, and internal stakeholders, ensuring that all office needs are addressed promptly and professionally, reflecting BCG’s high standards and values.

Key responsibilities include:

  • Maintaining the appearance and functionality of the office by monitoring shared spaces, kitchens, and conference rooms, ensuring they are clean, stocked, properly configured, and ready for use
  • Managing vendor relationships, coordinating repairs, routine maintenance, and facility enhancements, and promptly resolving issues
  • Overseeing office and kitchen supply inventory, handling orders, organization, accurate tracking, budget adherence, and maintaining item availability
  • Coordinating logistics for internal meetings and events, including catering arrangements, room setup, AV support, and post-event teardown
  • Serving as the primary contact for conference room management, ensuring rooms are equipped, reservable, and functioning smoothly; identifying opportunities for improvements
  • Serving as the primary point of contact for clients, visitors, and staff entering the office—greeting them with professionalism and care, and managing their experience from arrival to departure
  • Managing the front desk and concierge inbox, responding to questions, requests, and service needs in a timely and thorough manner
  • Leading mailroom operations, including timely processing, distribution, and coordination of inbound and outbound mail and packages
  • Supporting internal event logistics and affiliation initiatives, such as setup, signage creation, and event execution
  • Assisting with strategic office experience projects including space planning, digital signage content, internal communications, and special initiatives
  • Participating in strategic planning around office culture, consistently offering innovative ideas to enhance the office experience

You’re Good At

  • Taking ownership of your work environment, maintaining high standards, and promptly addressing operational issues
  • Creating memorable first impressions and fostering a professional, welcoming environment for guests and employees alike
  • Delivering high-touch service with a hospitality mindset, adapting your approach to meet individual needs and preferences
  • Remaining composed, efficient, and service-oriented when faced with last-minute changes, competing priorities, or high-pressure situations
  • Managing front-desk responsibilities such as phones, emails, and visitor registration with accuracy, grace, and attention to detail
  • Using sound judgment, critical thinking, and adaptability to resolve challenges and manage multiple tasks effectively
  • Communicating clearly and professionally with stakeholders at all levels, including colleagues, vendors, and leadership
  • Anticipating office needs, taking initiative, and identifying opportunities to enhance processes and employee experiences
  • Applying strong organizational skills, attention to detail, and effective prioritization to deliver timely, high-quality results
  • Collaborating effectively with diverse stakeholders, actively supporting team members and partners to achieve shared success
  • Demonstrating professionalism, integrity, and discretion when handling sensitive information or complex operational matters
  • Remaining flexible and composed under pressure, successfully navigating changing priorities and unexpected situations
  • Mentoring junior colleagues, sharing knowledge and best practices to improve overall team performance
  • Consistently exemplifying BCG’s values, contributing to a positive, inclusive workplace, and actively supporting team culture

What You'll Bring

  • Bachelor’s degree strongly preferred
  • 2–4 years of experience in office management, facilities operations, administrative support, or customer service, ideally within professional services, high growth startup or corporate environments
  • Proven experience managing office operations, vendor relationships, and coordination of facility services
