Job Summary: We are looking for a detail-oriented and customer-focused Sales Office Administrative Assistant to support our sales team and ensure smooth office operations. The ideal candidate will be responsible for greeting visitors, handling administrative tasks, assisting customers, and managing office communications. Strong organizational skills, professionalism, and computer proficiency are essential for success in this role.
Key Responsibilities:
- Welcome and assist client families and visitors with a friendly, professional, and empathetic approach.
- Answer and direct incoming phone calls, providing information, resolving inquiries when possible, and ensuring excellent customer service.
- Support the sales team by managing records, scheduling appointments, and handling documentation.
- Maintain accurate records, reconcile data, and assist with administrative reporting.
- Perform clerical duties, including data entry, filing, preparing correspondence, and other office tasks.
- Verify and confirm upcoming appointments and transactions as needed.
- Ensure the office runs smoothly by maintaining supplies, handling mail, and coordinating with internal teams.
- High level of integrity and discretion when handling sensitive information.
- Strong interpersonal skills with the ability to communicate professionally in both verbal and written formats.
- Excellent customer service skills , demonstrating poise, tact, and diplomacy.
- Strong organizational skills with the ability to multi-task, prioritize, and work independently.
- Computer literacy is required, with proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and general office equipment.
- Ability to work a flexible schedule , including some weekends, based on business needs.
- High school diploma or GED required.
- Prior experience in administrative, clerical, or customer service roles preferred.
- Fluency in Spanish (speaking and reading) is strongly preferred.
