YOUR IMPACT
Under the general supervision of the Data Quality Manager, the Data Specialist plays a critical role in ensuring the accuracy, integrity, and reliability of program data that supports Samaritan House’s mission and compliance with government and private funder grant requirements. The position is responsible for reviewing case files to ensure consistency, completeness, and adherence to program standards; entering, maintaining, and validating data within the County HMIS/CORE system and internal databases, including Salesforce; and ensuring that all documentation is accurate, organized, and up to date. The Data Specialist helps maintain data quality standards, supports reporting and compliance efforts, and contributes to effective program operations through diligent record management and data oversight.
The Data Specialist actively supports data quality initiatives by conducting data validation and testing, identifying discrepancies, analyzing data exceptions, and implementing timely corrective actions. This role also assists in preparing reports, monitoring data quality standards, and supporting compliance requirements to ensure accurate program performance tracking and grant reporting. Through careful data management and analysis, the Data Specialist contributes to effective program monitoring, evaluation, decision-making, and continuous improvement across the organization.
By ensuring high-quality, reliable data and documentation, this position directly supports program accountability, accurate reporting, regulatory compliance, and informed decision-making. The Data Specialist’s work strengthens the organization’s ability to measure outcomes, demonstrate impact, and deliver essential services to the community with integrity, effectiveness, and compassion.
JOB QUALIFICATIONS
Please note our preferred and in some cases required qualifications for this position:
EDUCATION:
· Bachelor’s degree: Business Administration, related field, or relevant experience in assisting with the maintenance and enforcement of organizational data quality standards.
EXPERIENCE: Minimum 2 years.
· Proficiency with a variety of software and databases, including Windows and Microsoft 365, Salesforce, Clarity Human Services, and Microsoft Access.
· Preferred experience with data manipulation, analysis, data quality assessment, data exceptions reviews, cleanup, and testing.
· Proficiency in preparing, analyzing, and delivering required and ad hoc reports for diverse internal and external stakeholders, ensuring accurate, timely, and compliant reporting to support program operations, performance monitoring, and decision-making.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong data management skills, including accurate and timely data entry, data integrity auditing, reporting, and use of information management systems.
- Experience with data validation, testing, and quality assurance processes, including identifying, documenting, and resolving data errors and system issues.
- Proficiency in Microsoft Office 365, SharePoint, Teams, and Zoom, and ability to quickly learn and navigate database systems (e.g., Salesforce, Clarity HMIS, Microsoft Access).
- Strong analytical and problem-solving skills, with attention to detail and familiarity with testing methodologies.
- Effective communication and collaboration skills, with the ability to work cross-functionally with IT, Data, and Program teams.
- Excellent organizational and time management skills, with the ability to prioritize tasks, manage multiple deadlines, and perform in a fast-paced environment.
- Demonstrated professionalism, sound judgment, and integrity, with the ability to handle sensitive information and maintain appropriate boundaries.
- Strong interpersonal skills and ability to build and maintain effective relationships with internal and external stakeholders.
- Ability to work independently while contributing as a collaborative team member.
- Flexibility to work occasional evenings, weekends, or travel to other locations as needed.
PHYSICAL REQUIREMENTS AND BACKGROUND CHECK
References will be conducted by Samaritan House prior to employment. All employees will undergo formal criminal record background checks. You must have the physical, visual and auditory ability to perform the essential functions of the job, ensure a safe/secure work environment and respond to any emergencies with or without reasonable accommodation. Regular and repeated use of motor coordination and hand motions for computer data entry and writing. Extended periods of sitting. Must be able to focus on single or multiple subject matters for extended periods of time. Candidate should have the physical ability to occasionally lift and/or move items (approximately 20 lbs.). Occasional sitting, walking, carrying, reaching, speaking, listening for extended periods of time. This position will require the usage of a mobile device or other assigned equipment, which will be provided.
ESSENTIAL FUNCTIONS OF THE JOB
1. Review grant case files for program compliance, consistency and integrity; conduct data quality checks and audits.
2. Enter case file data into the county Clarity HMIS/CORE Database and into Samaritan House Salesforce and Microsoft Access Databases.
3. Maintain an electronic set of case files for audit purposes in Microsoft SharePoint.
4. Collect, clean, and validate data from multiple internal and external sources to ensure accuracy and reliability across all systems and report outputs.
5. Submit all requested reports for review in a timely, accurate, and professional manner.
6. Conduct testing in Salesforce for system enhancements and development of new reports.
7. Effectively communicate, collaborate, and work cross-functionally with IT, Data, and Program Teams.
8. Prioritize tasks, manage multiple deadlines, and perform with a solution-focused mindset in a fast-paced environment.
9. Attend internal or external meetings, training, events as assigned. Represent Samaritan House positively and professionally.
10. Report and complete incident reports within 24 hours or immediately, whichever is earliest. Report on job injuries to Supervisor and HR immediately.
11. Other duties as assigned.
