Position Summary:

Paso Robles Tank, Inc. is seeking a dependable and professional Receptionist & Administrative Assistant to support daily front office operations and administrative functions. This position serves as the first point of contact for employees, visitors, customers, vendors, truck drivers, and applicants while assisting multiple departments with administrative support. The ideal candidate will possess strong organizational skills, professionalism, attention to detail, and the ability to multitask in a fast-paced construction and industrial environment.

Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:

  • Greet and assist visitors, customers, vendors, applicants, and employees in a professional manner.
  • Answer, screen, and direct incoming telephone calls and messages.
  • Schedule appointments, meetings, inspections, and administrative activities.
  • Receive, sort, distribute, and process incoming mail, packages, and courier deliveries.
  • Provide clerical and administrative support to multiple departments.
  • Maintain filing systems, logs, spreadsheets, and company records.
  • Perform accurate data entry and assist with document preparation and reporting.
  • Coordinate office supply inventory and place supply orders as needed.
  • Assist with company meetings, employee events, certifications, inspections, and special projects.
  • Maintain cleanliness and organization of common office areas including lobby, kitchen, conference rooms, and restrooms.
  • Assist with trucking schedules, dispatch communication logs, and coordination activities.
  • Perform occasional errands, mail runs, bid deliveries, and off-site administrative tasks as assigned.
  • Support company communications including newsletters, notices, and employee postings.
  • Maintain confidentiality of employee, customer, and company information.
  • Perform additional duties and responsibilities as assigned by management.

Required Skills and Qualifications

  • Basic understanding of office administrative procedures and clerical systems.
  • Proficiency in Microsoft Office Suite including Outlook, Word, and Excel.
  • Ability to adapt within a fast-paced construction and industrial environment.
  • Valid California Drivers License preferred with acceptable driving record.

Education and Experience

  • High school diploma or equivalent required.
  • Must maintain an active CA Driver's License for 3+ years.
  • Minimum one (1) year of receptionist, administrative, or office support experience preferred.
  • Construction, industrial, dispatching, trucking, or field-office experience preferred but not required.

Physical Requirements

  • Prolonged periods of sitting, standing, and working at a computer workstation.
  • Frequent walking throughout office and facility areas.
  • Ability to occasionally lift and/or move up to 25 pounds.
  • Ability to perform repetitive tasks including typing, filing, and phone communication.
  • Occasional local driving may be required.

Work Environment

This position operates in a professional office environment within an active construction and industrial operations setting. Regular interaction with field personnel, vendors, truck drivers, customers, and office staff should be expected.

Compensation and Benefits

Pay Range: $18.00 $24.00 per hour, depending on experience and qualifications.
