Operations & Office Manager (Los Angeles)

Fiona Hutton & Associates (FHA) is looking for a highly driven, organized Operations & Office Manager to cultivate and sustain a strong team culture for our California-based strategic communications and public affairs agency. This role is centered on creating a welcoming, collaborative environment that supports staff engagement, cross team connection, and firmwide morale while owning day to day operations and systems.

  • Create a professional, welcoming office environment that reflects our culture and sets our team up to do their best work every day.
  • Own and bring order to our firm-wide calendars and travel - ensuring everything runs smoothly and nothing falls through the cracks.
  • Build and maintain strong relationships with vendors while keeping supplies, equipment, and facilities running seamlessly.
  • Help ensure our office is safe, accessible, and fully functional so the team can focus on what matters most.
  • Play a key role in welcoming new team members by supporting thoughtful, organized recruitment and onboarding experiences.
  • Bring our team together by supporting the planning and execution of staff meetings, events, and trainings that strengthen our culture.
  • Serve as the go-to partner for our IT and systems, managing SharePoint, Zoho (CRM), and document platforms; leading new tech rollouts and trainings; and coordinating website updates with external partners.
  • Keep the day-to-day humming by overseeing mail, phones, and the overall administrative flow of the office.

DESIRED SKILLSETS:

  • 2+ years in office/operations management or similar role, preferably in professional services.
  • Excellent organizational and communication skills.
  • Detail-oriented, proactive problem-solver with ability to manage multiple priorities
  • Proficiency with Microsoft 365 and common office software (SharePoint, CMR systems), basic IT troubleshooting skills.
  • Curiosity and comfort in exploration of AI integration into workplace.
  • Strong interpersonal skills, articulate and able to communicate effectively with clients and external audiences.
  • Ability to work effectively and collaboratively with internal and external client teams.
  • Awareness of importance of and commitment to driving culture – natural team builder.

This full-time salaried position will be located in the company’s Los Angeles office, with 5 days in the office required each week. Salary $71,000 – $85,000 depending on experience.
