Rosewood Miramar Beach, a Rosewood Hotel, is looking for an exceptional and multi-talented Reservations Coordinator. The Reservations Coordinator provides prompt, courteous, and efficient handling of all requests for group and social group room reservations, changes, cancellations, revenue commitments and details. Maintain balanced room inventory. ensure guests preferences and requests are detailed and communicated to appropriate departments.
Qualifications:
- Minimum two years hotel/resort experience
- Previous experience in hotel reservations, sales, or front office experience preferred.
Essential Duties & Responsibilities:
Group Rooms:
- Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards.
- Ensure that Forbes Five standards are maintained at a superior level daily.
- Collect, review, process, and audit group rooming lists, ensuring accuracy and adherence to contracted blocks. Review rooming lists for block compliance and escalate over‑block requests for approval.
- Enter and update group reservations, including modifications and special requests.
- Monitor group pickup, cutoff dates, and block performance; communicate risks or shortfalls to appropriate stakeholders.
- Participate in weekly Resume Meeting and ensure blocks are set up with appropriate, notes, routing, traces, etc. as noted on the Resumes.
- Produce commission and attrition reports upon group’s departure.
- Assign group rooms according to guest requests and preferences whenever possible.
- Ensure all Guest Preferences are noted clearly in group reservations
- Monitor, track, and advise clients and internal partners of cut-off dates and pick-up comparisons to revenue commitments – i.e., Pick-up Reports.
- Serve as the liaison for group contacts regarding reservation details and updates.
General Reservations
- Respond to internal and external reservation inquiries with professionalism and accuracy.
- Enter, modify, and maintain reservations in Opera Cloud and other related systems.
- Ensure all reservation data is complete, accurate, and compliant with hotel standards.
- Communicate effectively with Sales, Revenue Management, Operations and Finance teams.
- As assigned, provide timely reporting and updates on reservation-related tasks.
- Support the Reservations and Sales teams with administrative tasks as needed.
- Liaison to Front office team on day-to-day rate, reservation issues; Assist Reservations/Front Office teams with inventory management.
- Monitor American Express reservations and block rooms according to check/out & check in time.
- Maintain confidentiality of guest information and pertinent hotel data.
- Maintain complete knowledge of:
o All hotel facilities/services and hours of operation.
o All guest room layouts, bed types, decor, appointments, and locations.
o Room availability for any given day.
o Restricted dates, rates, and room types.
o All room rates, packages, and promotions.
Experience, Education, & Licensure:
- Previous experience in hotel reservations, sales, or front office experience preferred.
- Strong attention to detail with excellent organizational and time management skills.
- Ability to manage multiple deadlines and high volume workloads.
- Strong written and verbal communication skills, aligned with Forbes Five Star standards.
- Guest-centric mindset with the ability to build strong relationships.
- Ability to work collaboratively with Sales, Revenue, and Operations teams.
- High level of professionalism, confidentiality, and accuracy.
Miscellaneous Skills:
- Proficiency in hotel PMS/CRS systems (Opera, SynXis, or similar) is an asset.
- Proficiency in hotel Group business systems (Delphi, Opera S&C, or similar) is an asset.
The pay scale for this position is between $28.00 and $30.00/hour. This is the pay range for this position that the Hotel reasonably expects to pay.
