Programs Coordinator

Position Summary
The Programs Coordinator works across the Programs Team to coordinate events both in person and online - including initial brainstorming and logistics planning, program execution, set up and breakdown, as well as supporting web and email communications. The Programs Coordinator will take the lead on sustained members' programming such as readers' and writers' groups while aiding the development of a youth literary camp. The Program Coordinator is responsible for data collection, calendaring, and statistics tracking for the department. This position additionally coordinates licensing, contracts, and purchase requests for the team.
This position reports to the Director of Programs and works closely with area managers and colleagues across the organization to produce programs of excellence with high production value to enrich the lives of members and the general public.
? Assists Programs Team in planning and coordinating logistics for a diverse offering of author programs and panels, film screenings, members' events, and large-scale special programs
? Supports and sustains literary, writing, and history programming offerings for Mechanics' Institute members
? Collaborates with the programs team to build and maintain partnerships with literary, cultural, and community organizations
? Works with Director of Programs to record program income, expenses, and trends
? Drafts and publishes promotional materials and announcements including event website pages, listserv announcements, and social media content in a timely manner; coordinates and carries out the set-up of the reservation platform and reservation lists.
? Prepares events space, with the support of the IT Technician, for programs including room set-up, AV and equipment set-up and strike down; arranges online programming, set-up, and execution
? Completes department ordering and purchase requests, including books, concessions, and production equipment
? Assists with licensing services, including ABC permits and annual film screening license, and Memorandums of Understanding (MOUs) and Consultant Service Agreements (CSAs) with community partners and instructors.
? Handles administrative and supervisory duties for youth literary and writing summer camp
? Other duties as assigned
Qualifications

? At least 2-4 years of experience with non-profit/educational programming administration and/or development
? Strong verbal and written communication skills and the ability to communicate effectively throughout all levels of the organization
? Ability to perform effectively within a fast-paced environment
? Ability to manage multiple projects, set priorities, and meet deadlines
? Experience with email communications, webpage creation, and flyer design
? Experience with database management
? Strong organizational, problem solving, and time management skills
? Ability to work well independently and as part of a team
? Proficiency with MS Office and Google Suite
Preferred Qualifications
? Bachelor's Degree
? Experience working with youth in educational setting
? Interest and experience in cultural event production
? Interest and experience working in a library setting
Physical Demands
? Requires the ability to walk, stand, carry materials and equipment, stoop, kneel, bend at the waist, reach overhead, and climb stairs
? May require sitting and/or standing for long periods of time
? Will be required to lift up to 25 pounds on an occasional basis
Working Environment
? Onsite work is performed within a standard environment
? Will be required to operate basic office equipment including but not limited to computer, printers, telephone, etc.
? The noise level in the work environment is usually low to moderate
Job Type: Full-time
Pay: $35.00 per hour
Expected hours: 35 - 37.5 per week
