Legal Support Secretary
Job Description and Duties
Under general supervision of the Administrator I, the incumbent performs a variety of secretarial duties and support functions for attorneys. The incumbent formats, proofreads, makes necessary corrections or recommends edits, packages legal briefs and other correspondence in accordance with Legal procedures and the California Style Manual. The incumbent prepares legal documents from both handwritten and typed copy; makes corrections in formatting, spelling, grammar and punctuation; scans, redacts, copies and faxes related documents; answers Legal Division telephones; provides backup assistance to other secretaries; participates in team assignments; and assists in other administrative support duties as assigned.

Working Conditions
This position is eligible for limited remote working within California based on departmental guidelines and operational need. FTB has a minimum in-office requirement of two days per week for all positions including those that are eligible for telework. This is subject to change.

Desirable Qualifications
In addition to evaluating each candidate's relative ability, as demonstrated by quality and breadth of experience, the following factors will provide the basis for competitively evaluating each candidate:
All Experience and Education relating to the Minimum Qualifications listed on the Classification Specification should be included to clearly demonstrate how you meet the Minimum Qualifications and Alternate Range Placement for the position on your State Application (STD Form 678). - Proficient with Microsoft Word, Excel, and Adobe Acrobat Professional
- Familiar with Professional Audit Support System (PASS), Secure Web Internet File Transfer (SWIFT), Taxpayer Folder
- Knowledge of technical legal terms, various legal forms, documents and their processing
- Knowledge of the tax protest, appeal and litigation processes
- Ability to proofread documents: correct spelling, grammar, punctuation and format to ensure that documents have been properly edited and/or replicated and according to Legal procedures and the California Style Manual
- Ability to proceed independently from general supervision
- Ability to prioritize work assignments to ensure completion within established time-frames and by expected deadlines
- Ability to work under pressure of a heavy workload and assignments in order to meet work objectives and deadlines
- Ability to effectively manage multiple assignments and meet stringent time constraints
- Ability to be flexible in adapting to changes in priorities, assignments, and other interruptions which may impact pre-established timelines for completing assignments
- Ability to interact with other individuals in a courteous, professional and efficient manner
- Ability to work independently or in a team environment using good tact and judgment
- Detail oriented, with excellent organizational, written/verbal communication and interpersonal skills
- Ability to provide quality customer service, and maintain cooperative relationships
- Secretarial experience
- Experience working with administrative agencies or courts
- Experience scheduling conferences/meetings, hearings
