Position Purpose:

Manages a high level of customer satisfaction and quality of work to ensure it is achieved with the supervision of the service manager. Facilitates the Court Referral Program which places court-referred individuals into non-profit community agencies in lieu of jail or fines/fees/restitution as so ordered by the courts, probation or as directed by CLASP agencies. Oversees require record keeping, reporting functions, the staff scheduling of all offices and ensuring daily safekeeping and depositing of program fees.

Essential Duties and Responsibilities:

  • Meets all requirements for confidentiality and for management of corporate, finance, and personnel information including distribution controls, secure filing and disposal, and records retention and storage, and is able to meet the duties of the Court Referral Program Client Service Specialists as needed.
  • Communicates effectively and courteously with all contacts -- internal and external. Works well with diverse people.
  • Maintains current knowledge of and complies with organizational and department policies and procedures.
  • Meets all applicable safety requirements for the position and work environment including prompt injury reporting.
  • Organizes workload throughout the day to meet project timelines, program duties, and responsibilities, ensuring deadlines are achieved. Minimizes time spent on personal calls and matters. Meets attendance and punctuality requirements, and reports time and attendance accurately.
  • Oversees and guides written and verbal communications to ensure clarity, accuracy, proper grammar, and an effective professional tone.
  • Supports the vision and goals of OneOC.

Position Function:

  • Trains and monitors under the supervision of service manager. The Court Referral Program staff, interns, and volunteers in operational protocol to include accurate and timely client placement, customer service expectations, court record- keeping procedures, and cash-handling requirements.
  • Creates and maintains the weekly work schedule for staff, interns and volunteers to insure adequate office coverage at all locations. Monitors worked hours. May be required to approve and submit employee timecards and mileage as required by service manager.
  • Interviews, screens and places court-referred offenders in community service assignments, physical labor, or other mandated programs for the implementation of alternative sentencing requirements.
  • Performs data entry functions for all client records, including court orders, interviews, assignments, completion status, transfers, reassignments, and disposition reports, ensuring all information is accurately updated in the CRP OC System.
  • Monitors database reports and mails appropriate correspondence to defendants, as necessary, to ensure timely registration and payment of all fees.
  • Processes financial assistance reports and communicates outcomes, accordingly, including notifications to individuals regarding approval or rejection of financial assistance
  • Coordinates and administers the Youth Drug and Alcohol Deterrence (YDAD) Program by ensuring trainers are notified of class dates in a timely manner, preparing the training room the day prior to each session, and verifying that credit is applied in the CRP OC System following class completion.
  • Closely monitors the accurate collection and safekeeping of program service fee revenues, assuring that cash-handling procedures are consistently followed. Acts as one of two required personnel responsible for daily cash balancing, reports any inaccuracies or discrepancies to Service Manager and Accounting immediately.
  • In conjunction with Community Connection staff, liaises with agencies, monitoring and documenting agency compliance with CRP policies and procedures.
  • Oversees office equipment maintenance and order office supplies.
  • Is in charge in service manager absence and acts accordingly as acting service manager during vacation or absence.
  • Performs other duties as dictated by efficient program operations or as assigned by the service manager.

Education and Experience:

  • High school diploma required.
  • Bachelor’s degree preferred.
  • Two years of office experience performing detailed tasks.
  • Must speak, read and write Spanish as well as English. Multilingual preferred.

Computer & Equipment Skills:

  • Has good general knowledge of computer operations; uses a keyboard and calculator proficiently and with a high degree of accuracy. Accurate typing skills of 35 wpm.
  • Uses Microsoft Office Word and Excel as well as Internet and email programs proficiently.
  • Oversees Salesforce usage across the team, ensuring accuracy, compliance, and efficiency in data entry and reporting.
  • Uses typical office equipment (i.e., ten-key by touch).
  • Must be able to Scan and Fax documents.

Physical Job Requirements:

  • Sits for extended periods of time at a computer station or work desk and while driving in car. Stands and walks throughout the day.
  • Uses hands and fingers to operate computers and office equipment for up to 8 hours or more each day.
  • Requires clear vision at 20 inches or less with or without corrective lenses and vision sufficient to use equipment and drive a car safely.
  • Hearing and speech within normal ranges and sufficient for clear communication face to face and on the telephone.
  • Lifts up to 10 pounds regularly and 25 pounds occasionally.
  • Exposed to typical office environment conditions and noise levels.

Mental & Reasoning Requirements:

  • Uses critical thinking skills to create documents and spreadsheets and interpret information furnished in written, oral, diagram, or schedule form.
  • Able to set goals based on available information and to plan work in order to meet deadlines. Able to project likely future occurrences based on current or historic data.
  • Able to formulate appropriate responses to requests for services and information from internal or external customers.

Other:

  • Maintains professional behavior, dress and appearance at all times
  • Maintains a high level of attendance and is punctual.
  • Attends meetings and trainings as requested
  • Operates a personal vehicle for business purposes while maintaining a valid driving record and active personal auto insurance, in compliance with organizational policies; submits required documentation as requested.
  • May be required to travel outside the local area by car or air for one or more days.
