Operations Office Administrator P/T - Merced, CA
Location: Onsite: Merced, CA. 8 hours on Monday and 8 hours on Tuesday
Location Status: Work will be primarily performed onsite in our office. Occasional travel to and work from other Race offices or other off-site locations may be required.
Comp: $17 to $20 per hour

Position Impact:
The Operations Office Administrator serves as the first point of contact for visitors, vendors, and deliveries while maintaining primary ownership of daily office operations and administrative functions. This role is responsible for ensuring a well-organized, fully stocked, and professional office environment that supports operational efficiency across the organization. With an emphasis on office operations and administrative ownership, the Operations Office Administrator oversees front desk support, breakroom and facility management, delivery coordination, mail handling, internal event assistance, and supply management. The role also supports the daily functions of the Operations department by coordinating communications, managing schedules, preparing reports and documentation, maintaining accurate records, and assisting with data entry and operational tracking. Acting as a central operational hub, this position partners cross-functionally to facilitate onboarding support, vendor coordination, event logistics, and project-related activities while ensuring compliance with company policies and procedures.
Requirements
Qualifications and Experience:
- Eligibility for US Employment without sponsorship
- Minimum of 18 years of age
- 1–3 years of experience in administrative, office support, or front desk roles preferred
- Demonstrated ability to manage daily administrative tasks and maintain organized records with a high level of accuracy
- Professional demeanor with the ability to communicate effectively with vendors, visitors, and internal team members daily through verbal and written channels
- Proven ability to prioritize and manage concurrent responsibilities independently while consistently meeting deadlines
- Experience interacting with vendors, visitors, and internal team members daily while maintaining professional and responsive communication
- Ability to lift and move packages up to 25 lbs. as needed
- The ability to effectively communicate in English, including speaking, reading, writing, and comprehension, as necessary for effective job performance and workplace communication
Skills:
- Proficient use of MS Office applications including Teams, Word, Excel, and PowerPoint; teleconferencing applications
- Functional use of common office equipment, computers, and office software
Essential Duties and Responsibilities:
Office Operations & Front Office Management
· Serve as the primary onsite representative for daily office operations and front office presence
· Welcome and assist employees, visitors, vendors, new hires, and contractors in a professional and service-oriented manner
· Manage building access, visitor logs, badge distribution, and security coordination
· Answer and route incoming calls and serve as the central point of contact during business hours
· Maintain organized, professional, and operationally ready common areas including reception, breakrooms, and shared spaces
Logistics, Mail & Vendor Coordination
· Oversee all incoming and outgoing deliveries, inspect and distribute packages, and maintain shipment tracking logs
· Coordinate scheduled deliveries and large shipments with internal departments
· Manage daily mail retrieval, distribution, certified mail tracking, and courier coordination
· Maintain organized storage and inventory systems for office supplies and operational materials
· Coordinate with vendors for office supplies, breakroom inventory, and service needs while tracking related expenses
Breakroom & Facility Support
· Maintain cleanliness, organization, and presentation of breakrooms and shared office areas
· Monitor and replenish snacks, beverages, coffee supplies, paper goods, and kitchen inventory
· Ensure shared equipment and appliances remain clean and functional
· Track usage levels and proactively submit restock requests
Administrative & Operations Department Support
· Manage day-to-day administrative functions for the Operations department including scheduling, correspondence, document preparation, and reporting support
· Maintain accurate records, filing systems, data entry, and operational documentation
· Assist with preparation and distribution of reports, presentations, and departmental communications
· Act as liaison between Operations and cross-functional teams to support collaboration and information flow
· Ensure compliance with company policies, procedures, and administrative standards
· Provide general administrative support as assigned by the Operations Administration Manager
Onboarding Coordination & New Hire Facilitation
· Coordinate and prepare new hire workspaces including equipment, supplies, system access, badges, and building credentials
· Partner with IT to ensure required hardware and software access prior to start date
· Facilitate office tours, introductions, and overview of office systems and policies
· Distribute onboarding materials and verify completion of required documentation and training
· Coordinate onboarding schedules, training sessions, and cross-functional introductions
· Serve as liaison between new hires, HR, IT, Training, and department leadership
· Provide guidance on expense reporting systems and general office procedures
Internal Events Coordination
· Coordinate and execute internal meetings, workshops, luncheons, and company events
· Manage event logistics including catering, vendor communication, room setup, supplies, and breakdown
· Track event-related expenses and support budget alignment
· Provide on-site support to ensure smooth execution of events
Travel & Project Support
· Coordinate travel arrangements and itineraries in alignment with company policies
· Provide administrative support during cross-location visits as needed
· Support operations-related projects by tracking timelines, coordinating tasks, and ensuring timely completion
· Manage procurement and distribution of office supplies across locations
· Maintain inventory tracking for operational materials and company store items
