We are seeking an Administrative Assistant/Receptionist for our Van Nuys, CA office.

Position Identification: Non-Exempt

Reports to : Office Manager

Position Summary:

Answering phones, greeting visitors, supporting various office personnel, ordering office supplies, sorting and distributing incoming mail. Daily use of Excel and Word and additional general office responsibilities as needed. This is a Full Time position, approximately 40 hours per week, Monday through Friday from 8 AM to 5 PM.

Job Responsibilities:

The Administrative Assistant/Receptionist is responsible for the administration of the front office and providing support to various departments as needed.

  • Answer and route incoming phone calls
  • Greet customers and vendors
  • Open and distribute mail
  • Maintain check log
  • Manage the daily sign-in sheet
  • Maintain and distribute employee contact sheet as needed
  • Order office supplies
  • FedEx shipments
  • Stock miscellaneous office items as needed
  • Complete a daily cleanup of kitchen/coffee room area, right before the end of shift.
  • Miscellaneous duties as assigned by various departments

Knowledge, Skills & Experience (Essential):

  • High school graduate, some college preferred
  • 2-3 years of general office support experience in a fast paced environment and able to juggle multiple responsibilities independently
  • Strong knowledge of Word, Excel and PowerPoint
  • Professional and personable demeanor
  • Excellent verbal and written communication skills
  • Solid attendance working with a construction company is a plus
  • 1 year experience with AP/AR, invoice processing and reconciliation preferred

Occupational Health and Safety:

  • Compliance with workplace policies and procedures for risk identification, risk assessment and risk control
  • Active participation in activities associated with the management of workplace health and safety
  • Identification and reporting of health and safety risks, accidents, incidents, injuries and property damage at the workplace

Working Conditions:

Physical surroundings: Office environment with typical office machines and exposure to noise and temperature.

Physical Effort: Extensive sitting, standing, walking. Repetitive keying, typing. Occasional lifting not to exceed 25 pounds

Travel: None

Hours: Monday- Friday 8:00am-5:00pm
