Accounting Specialist Projects & Operations

We’re looking for an Accountant Specialist – Projects & Operations to support both general accounting tasks and project‑level financial management. This position starts part‑time , giving you flexibility as you learn our systems and team rhythms — and transitions into a full‑time role as the firm continues to grow. What You’ll Do
You’ll support the financial health of the firm by assisting with day‑to‑day accounting operations, project financials, and internal reporting. You’ll work closely with both our operations team and project managers to keep information accurate, organized, and moving smoothly.
General Accounting
- Process accounts payable and accounts receivable
- Reconcile bank accounts, credit cards, and vendor statements
- Support budgeting and forecasting
- Maintain organized financial records and internal controls
Project Accounting
- Set up new projects in the accounting system
- Track project costs and monitor profitability
- Flag variances and support project managers with financial insights
- Prepare and issue client invoices (hourly, fixed fee, percent‑complete, reimbursable)
- Review timesheets for accuracy and coding
- Process consultant invoices and align them with project budgets
- Assist with contract review to ensure billing terms are implemented correctly
Billing & Collections
- Ensure invoices meet contract requirements
- Monitor aging reports and follow up on outstanding receivables
- Communicate professionally with clients regarding billing questions
Operational Support
- Support vendor onboarding and maintain W‑9s, COIs, and contract files
- Assist with payroll processing
- Track employee expenses and reimbursements
- Provide ad‑hoc financial analysis to leadership
What You Bring
- 0 - 2 years of accounting or project accounting experience (AEC industry preferred)
- Strong Excel skills
- Exceptional attention to detail and organizational abilities
- Clear, confident communication with project managers, leadership, and clients
- Comfort working in a fast-paced environment with multiple deadlines
Bonus Points
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- Exposure to project-based accounting or software like Deltek Ajera
- Experience or interest in architecture, engineering, construction, or design industries
