Rosewood Miramar Beach, a Rosewood Hotel, is looking for an exceptional and multi-talented Assistant Purchasing Manager. The Assistant Purchasing Manager supports the Director of Purchasing in overseeing daily purchasing, receiving, dock operations, inventory control, storeroom organization, outlet requisitions, and package distribution. This role ensures operational accuracy, superior service standards, compliance with procedures, and timely distribution of goods and packages throughout the property.
Leadership & Departmental Support:
- Provide direct operational support to the Director of Purchasing as needed.
- Supervise the Purchasing Supervisor and Purchasing/Receiving Clerks, providing direction, coaching, and feedback.
- Ensure departmental standards are maintained at a superior level on a daily basis.
- Willing to work a flexible schedule to accomplish responsibilities and tasks.
- Performs other duties as assigned.
Policies, Standards & Service:
- Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards.
- Maintain complete knowledge of correct maintenance and use of equipment; use equipment only as intended.
- Maintain complete knowledge of property management systems and manual procedures.
- Monitor and maintain cleanliness, sanitation, safety, and organization of assigned work areas.
- Set up and organize workstation with designated supplies, forms, and resource materials; report shortages as needed.
Guest Service:
- Anticipate guests’ needs, respond promptly, and acknowledge all guests, however busy and whatever time of day.
- Maintain positive guest relations at all times and resolve guest complaints, ensuring guest satisfaction.
Purchasing & Purchase Order Management:
- Place orders for products across all hotel departments including Culinary, Restaurants, Bars, Spa, Housekeeping, and Engineering.
- Organize, review, and manage Purchase Orders.
- Check and review incoming orders daily.
- Update price comparison sheets.
Receiving, Dock & Package Operations:
- Post Receiving hours.
- Maintain and clear dock area and ensure proper traffic flow.
- Receive food products, beverages, dry goods, chemicals, and major equipment.
- Ensure suppliers follow hygiene and delivery standards.
- Record all items received in BirchStreet, matching quantities and pricing to the Purchase Order.
- Log beverage, food, and supply items.
- Turn invoices and packing slips into Accounts Payable.
- Distribute products to designated departments.
- Oversee all packages received from UPS, FedEx, DHL, and other carriers.
- Ensure packages are processed in Qtrak and delivered promptly to recipients.
Inventory & Requisitions:
- Complete outlet requisitions daily.
- Ensure requisition orders from outlets are properly picked and checked for accuracy.
- Assist with month-end inventory counts.
- Update pricing sheets, compile outlet details, and spot-check data for accuracy.
- Review dead stock and slow-moving items.
Discrepancies & Returns:
- Handle discrepancies and returned goods.
- Complete discrepancy forms for goods received without invoices, goods returned without credit notes, and error corrections.
- Write credit memos when refusing items.
- Follow partial shipment procedures when applicable.
Administrative: Maintain logbooks and accurate purchasing and receiving records.
Physical Requirements:
- Ability to lift up to 50 pounds.
- Must be able to exert physical effort in transporting, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.
- Basic math skills; ability to operate computer system; excellent record keeping skills.
Qualifications:
- High School Diploma
- Licenses & Certifications: None Required
- Required to speak, read, and write English, with fluency in other languages preferred.
- Must be able to perform job functions with attention to detail, speed, and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.
Experience: Prior experience in a Purchasing department within the hospitality field; 2 years of prior supervisory experience preferred.
The salary range for this position is $65,000 to $70,000. This is the pay range for this position that the Hotel reasonably expects to pay. This position also may be eligible for bonuses. Decisions regarding individual salaries will be based on a number of factors, such as experience, type of hotel experience, location, and education.
