Project Manager, ECE Contracts & Ops - Remote | WFH
Oversee compliance with donor guidelines, including regulatory requirements, reporting, and budget and expense tracking.
Act as a liaison between the Government Contracts and Operations team and other internal departments (Finance, Legal, Operations), ensuring clear communication and effective collaboration.
Partner with Legal to maintain updated organizational records across core geographic areas.
Coordinate the internal announcement and onboarding processes for new grants and contracts, ensuring resources are aligned and internal systems are up-to-date.
Provide operational and financial support to teams working on grant applications, RFPs, and other requests as necessary.
Oversee the expense report process to ensure accuracy and adherence to internal guidelines. Governance, Strategy & Business Optimization: Work closely with internal teams to identify strategies that enhance business operations, improve interdepartmental collaboration, and increase overall efficiency.
Develop reports, dashboards, and other resources to track and enhance operations for leadership and stakeholders.
Support the development and strengthening of grant-related policies and business processes to streamline workflows and improve overall efficiency.
Lead internal audits for grants and contracts, compiling detailed reports with recommendations for improvements.
Conduct data audits regularly, ensuring accuracy and making recommendations for operational optimizations.
Serve as the primary liaison for consultant contract onboarding, overseeing related tasks and processes.
Manage grant records in Salesforce, ensuring timely and accurate entry of data. Grant & Contract Management: Collaborate with the ECE Grants Manager and program staff to develop budgets for grant and contract applications and ensure data readiness for donor submission.
Reconcile financial data, working with the Grants Manager, program leads, and Finance team to ensure accurate invoicing and revenue recognition.
Support internal teams in developing budgets, monitoring expenses, and creating strategies to maximize revenue and forecast expenses effectively.
Work with the ECE Grants Manager to manage updates to staff effort allocations and adjust allocations as needed.
Assist the ECE Grants Manager with budget reallocations, contract modifications, and related processes for donor approval.
Lead training sessions for internal teams on best practices in grant and contract management. Other Duties: Perform other duties as needed, based on organizational priorities. Qualifications A Bachelor's degree in Early Care and Education, Public Administration, Urban Planning, or a related field.
2-3 years of experience in project management, grants management, or government contracts, preferably within a nonprofit or public sector context.
Strong organizational and project management skills.
Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
Solid understanding of financial management and compliance requirements in grants/contracts.
Proficiency in Salesforce, MS Office Suite (Excel, Word, PowerPoint), and familiarity with tools such as Concur, MIP, or Asana is a plus.
Ability to work independently with minimal supervision in a fast-paced, collaborative environment.
Detail-oriented, with strong problem-solving abilities.
Comfortable managing multiple tasks and stakeholders simultaneously.
Occasional travel may be required for meetings, site visits, or professional development. Additional Information This position offers a hybrid work environment, with the flexibility to balance in-office and remote work.
