Administrative Assistant for Private Therapy Practice

DUTIES - Provide administrative support to ensure efficient operation of the office- Answer and direct phone calls, take messages, and respond to inquiries- Greet and assist clients in a professional and friendly manner- Perform data entry, manage and update files, and maintain office supplies inventory- Coordinate and schedule appointments, and meetings for staff- Assist in the preparation of regular monthly reports and trainings- Develop and maintain a filing system for easy retrieval of documents
REQUIREMENTS: - Proven experience as an administrative assistant or relevant role- Knowledge of office management systems and procedures- Proficient in Google Suite/Google Workspace- Excellent time management skills and the ability to prioritize work- Attention to detail and problem-solving skills- Excellent written and verbal communication skills- Strong organizational skills with the ability to multi-task- High school diploma; additional qualifications as an administrative assistant or secretary are a plus
SKILLS: - Personal assistant: Ability to provide support to executives and handle various tasks efficiently.- Customer service: Ability to interact with clients/customers in a professional manner.- Knowledge of Health Insurances : Familiarity with general insurances and their policies- Marketing/Outreach: Ability to promote The MBRC to prospective clients, and also recruit for new associates as needed.- Google Drive/Google Filing: Knowledge of file management systems and ability to organize documents.- Training/Teaching: Proficiency in being able to create training modules and train associates in necessary processes, programs, etc..- Processing Payments & Data entry: Experience in processing payments accurately and logging them into a system.- Communication etiquette: Excellent phone, email, and text manners and ability to handle all communications professionally.
