The International Cinematographers Guild, Local 600 IATSE is the largest camera and publicist union in the world with over 9,000 members in all 50 states and Puerto Rico. We are a National Local of the International Alliance of Theatrical and Stage Employees (IATSE).
Applications are now being accepted for the hourly, non-exempt position of Accounts Payable Specialist . This is an in-person position based in our National Office - Los Angeles, California.
SALARY:
Staring at $31.51 per hour, depending upon experience.
POSITION SUMMARY:
An Accounts Payable Specialist for ICG Local 600 manages financial disbursements for a national labor organization representing the Guild’s camera professionals and publicists. Operating within a labor union context, this role will focus on labor union compliance, member benefit tracking, regional operational allocations, and labor-specific accounting standards.
Core Responsibilities:
- Labor Union Disbursements: Review, code, and process high-volume operational vendor invoices, regional office expenses (Los Angeles, New York, Chicago), and employee expense reimbursements. Print manual checks as needed. Notify officers when payables are ready for their approval. Notify National Controller once payables have been approved by officers and are ready for processing via BILL.
- Regional & Departmental Allocation: Code and allocate expenditures accurately across different national regions, committees, educational training programs, and trade show operations (e.g., Cine Gear Expo, Filmscape).
- Vendor & Member Relations: Maintain national vendor records, collect W-9s, manage payment inquiries, and handle specialized reimbursements for guild members or executive staff.
- Publication & Event AP Support: Support accounts payable workflows specifically tied to the production of the ICG Newsletter and the ICG Scholarship and Preservation Fund.
- Audit & Reconciliation: Prepare month-end AP accruals, double check the prepaid expense account and reconcile statements, and assist the National Controller during annual CPA and regulatory financial audits.
- Per Capita Calculations: Calculate per capita payments to various organizations on a Monthly, Quarterly, or Annual basis.
- Credit Card Transactions: Review credit card transactions for correct coding as submitted by employees. Follow up with the card holders as needed for missing information and/or clarification.
- Member Benefits: Track member benefit information related to MPI contributions.
- Additional Support: Provide support to the National Controller and the Accounting Manager by keeping them apprised of any upcoming or unforeseen payments and ensuring that payments are processed in a timely manner.
- Additional duties as assigned.
Required Skills and Experience:
- Experience: 3+ years of full-cycle accounts payable experience, with clear preference given to backgrounds in labor unions (c3/c5 nonprofits) or entertainment industry corporate accounting.
- Bookkeeping/Accounting Knowledge preferred.
- Software Proficiency: Advanced proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables) and institutional accounting platforms (e.g., QuickBooks, BILL).
- Soft Skills: Discretion when dealing with confidential union business, exceptional structural organization, excellent attention to detail, and strong verbal communication skills to coordinate with officers, professional staff, vendors, and members.
Preferred:
- Familiarity with labor organization financial tracking, expense allocations, or basic Department of Labor accounting guidelines.
- Knowledge of specialized union database systems.
LICENSE AND PHYSICAL CLASS:
- A valid Driver’s License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.
- Ability to lift-up to 20 lbs.
CLASSIFICATION:
This is a non-exempt position covered by the terms and conditions of the collective bargaining agreement between ICG Local 600 and OPEIU Local 174. The job falls under the administrative job classification.
