ASI Student Government members are elected or appointed to serve as representatives and advocates for the Cal Poly student body. The corporate responsibilities of Student Government members are defined within the ASI Bylaws. This responsibility guide provides an overview of the key duties and expectations for the ASI Chief of Staff. Specific responsibilities and levels of involvement may vary throughout the term of office.
The ASI Chief of Staff is appointed by the ASI President as is responsible for providing leadership, support, and guidance to the ASI Executive Cabinet and ASI Executive Staff.
Under the direction of the ASI Chief of Staff, members of the ASI Executive Cabinet carry out their respective duties in support of the ASI President’s goals. They provide recommendations on relevant student issues and coordinate special events and projects that advance the organization’s mission.
The ASI Chief of Staff holds an active and engaged role within the organization and across the university. This position requires a weekly time commitment of approximately 25–35 hours, which may include occasional evenings, weekends, and optional travel. While summer involvement is not required, in-person participation is encouraged. The ASI Chief of Staff will be provided with asynchronous training and engagement opportunities and invited to participate in ASI Leadership Team meetings and trainings during the summer term.
Requirements
The ASI Chief of Staff is considered a mandated reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI Policy as a condition of their volunteer assignment.
It is a conflict of interest for ASI to employ members of ASI Student Government and require those individuals to have the responsibility of governing and making decisions regarding the organization by which they are employed. Because of this conflict, it is necessary to separate the roles by not allowing a student to simultaneously hold a position in ASI Student Government and be employed by ASI.
The ordinary term of office for ASI Student Government members shall be one year, commencing on the day after the close of spring term and ending on the last day of the following spring term.
During their term of office, the Chief of Staff must maintain compliance with all CSU and ASI requirements as outlined in the ASI Bylaws.
Responsibilities to the ASI Executive Cabinet
- Advise the ASI President on all matters and make recommendations to the ASI President on all appointments.
- Ensure that the ASI President’s goals are facilitated through the ASI Executive Cabinet.
- Aid in the selection process of ASI Executive Cabinet members.
- Implement events, initiatives, or programs as requested by the ASI President.
- Provide direct oversight of the ASI Executive Cabinet in day-to-day activities.
- Coordinate projects and initiatives of the ASI Executive Cabinet.
- Facilitate weekly ASI Executive Cabinet meetings.
- Oversee the ASI Executive Staff program.
- Serve as Interim President if the ASI President should resign or otherwise become unable to perform the functions of the office, as determined by the ASI Board of Directors, until such a time as the ASI President is able to resume the functions of the office
- Other responsibilities as directed by the ASI President.
Committee Responsibilities
- Serve as a non-voting representative to the ASI Board of Directors
- Serve on ASI internal committees, Cal Poly committees, or other community committees as requested.
Summary of Typical Involvement
- Meet regularly with the ASI Leadership Team, ASI President, ASI Executive Cabinet members, and the ASI Executive Cabinet Advisor to ensure alignment of goals and initiatives.
- Regularly engage with students to gather feedback, promote transparency, and strengthen engagement across the university.
- Participate in organizational strategic planning and assessment processes, contributing to the development, execution, and evaluation of ASI’s strategic initiatives and goals.
- Collaborate with the ASI Leadership Team and ASI staff to ensure the efficacy of all training programs and professional development activities within ASI Student Government.
Benefits
Professional development/mentoring to the Chief of Staff will be provided by the ASI Executive Director or Designee. As a mentor, the ASI Executive Director or Designee will provide constructive feedback and guidance on a regular basis to assist the Chief of Staff in their personal and professional development.
The ASI Chief of Staff receives a scholarship each academic term during their term of office equal to 50% of the cost of education, as well as priority registration and ASI vehicle privileges, if eligible. Refer to the ASI Student Leader Scholarships Policy for additional information regarding eligibility terms, scholarship details, and the availability of summer scholarships.
