Responsibilities

  • Manage daily administrative operations to support the efficiency of the office and staff.
  • Coordinate communication between clients, internal teams, and external partners.
  • Maintain and organize confidential documentation and records in compliance with company policies.
  • Assist with scheduling appointments, meetings, and follow-ups to ensure timely responses.
  • Prepare and distribute reports, correspondence, and other documents as required.
  • Support compliance efforts by ensuring adherence to legal, regulatory, and company standards in administrative processes.
  • Handle customer inquiries with professionalism and provide information or direct them to the appropriate department.
  • Monitor inventory of office supplies and coordinate procurement as needed.
  • Facilitate onboarding and training coordination for new administrative staff.

Requirements

  • Proven experience in administrative or office coordination roles, preferably within the insurance or legal services industry.
  • Strong organizational skills with the ability to manage multiple tasks efficiently and accurately.
  • Excellent verbal and written communication skills to effectively interact with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Detail-oriented mindset with a commitment to compliance and adherence to company policies.
  • Ability to work independently as well as collaboratively within a fast-paced team environment.
  • Flexibility to adapt to changing priorities and work schedules, including occasional extended hours if necessary.
  • High school diploma or equivalent required; additional education or certifications in administration or business preferred.
