Our Courtroom Support team is seeking an organized individual with excellent multitasking and customer service skills to join their dynamic team as Courtroom Support Coordinator I. The Courtroom Support Coordinator I is the entry-level position within the Courtroom Support Coordinator series. The selected candidate will be a part of a collaborative team that performs work that makes a difference in the lives of the public that we serve. Expected Hiring Range: $23.5096 - $24.6997 POSITION SUMMARY Under general supervision, performs duties in support of the Courtroom Support Division including a wide variety of functions related to coordinating and scheduling various services, (i.e. court interpreters, court reporters, and jury services) for the courtrooms, ensuring appropriate coverage requiring knowledge and understanding of court functions, policies, and procedures and perform related duties as assigned. This position is identified as non-exempt from the Fair Labor Standards Act, confidential, and at-will.
SUPERVISION RECEIVED AND EXERCISED Incumbents receive supervision from the Courtroom Support Manager or designee. There are no direct reports. DISTINGUISHING CHARACTERISTICS The Courtroom Support Coordinator is a multi-level series distinguished primarily by the complexity of work, level of independent judgment, and action. Incumbents integrate knowledge, skills, and abilities to perform work for the Courtroom Support Division. The Courtroom Support Coordinator I is the entry level class for the Courtroom Support Coordinator series. Persons appointed to this position work under close supervision and are assigned the less difficult tasks and projects. Work is routinely reviewed by the Courtroom Support Manager or designee. The Courtroom Support Coordinator II is the journey level of the Courtroom Support Coordinator Series. Incumbents work under limited supervision and are assigned tasks and project work of medium complexity. Work is periodically reviewed by the Courtroom Support Manager or designee. The Courtroom Support Coordinator III is the advanced journey level of the Courtroom Support Coordinator series. Incumbents work under minimum supervision and are assigned complex projects, more difficult work assignments, and provide technical expertise and training support for other Courtroom Support Coordinators. Work is occasionally reviewed by the Courtroom Support Manager or designee.Essential Duties include but are not necessarily limited to:
ESSENTIAL DUTIES include, but are not necessarily limited to:
- Provide customer service that supports the courts' goal of fair and equal access to justice
- Perform court-related clerical duties
- Perform computer & keyboard functions
- Maintain electronic files in accordance with established policy in creating a court-related legal record
- Prepare, type and proofread a variety of documents (e.g. correspondence, memoranda, reports, certificates, forms, spreadsheets, and charts or other graphic representations of information) from instructions or draft for accuracy, completeness, and compliance with departmental polices and regulations
- Perform varied, responsible and detailed support duties adhering to legal codes, court procedures, and business writing standards
- Research, assemble, and analyze information from a variety of manual and automated sources for the completion of forms or reports
- Receive, process, and file juror affidavits
- Manage and maintain individual juror records and files
- Manage and maintain jury trial information
- Generate weekly jury summons
- Prepare and record juror daily and weekly appearance messages
- Conduct jury orientation and prepare jurors for Voir Dire
- Prepare, review, and approve weekly juror payroll
- Annually assist with the Grand Jury recruiting process to include preparing materials and mailing of invitations and applications
- Assist in determining the need for, procuring and coordinating court interpreters, court reporters to support court calendars
- Assists in arranging for translation of written materials and documents including items offered into evidence
- Answers inquires and provides information regarding Spanish, Other-Than-Spanish and other interpreter services
- Assists in maintaining daily interpreter attendance schedules and calendars with pools of certified/registered interpreters
- Assists in follow up on cancellations or absence contract staff; makes changes and revisions to interpreter or court reporter schedules as needed; ensures employees and/or contract staff have appropriate certification
- Maintains and updates master lists of interpreters and pro tem court reporters
- Responds to incoming phone requests for interpreter and court reporter services and keeps court informed of availability
- Ensures compliance with established ethical codes and rules regarding confidentiality of information
- Assists in collection and maintaining interpreter program data and record systems
- Verify, enter, retrieve and update electronic information and data, using a computer
- Record case information electronically
- Work in accordance with California statues and local ordinances
- Examine legal documents for completeness, signature, and conformance with legal requirements. File legal documents and ensure the appropriate electronic record is updated
- Accept, review, return, endorse, certify and/or file documents, and records-related information; appropriately update the electronic case record following the established policy, procedure and/or desk reference
- Maintain electronic records and/or files
- Perform clerical duties such as filing, copying, assembling reports and documents
- Perform other related work as required by business needs
- Assist with civil jury fees
- Answer phones and assist customers
- Determines need for, procuring and coordination of court interpreters and court reporters to support court calendars
- Receives requests for interpreters and court reporters
- Arranges for translation of written materials and documents including items offered into evidence
- Maintains daily interpreter attendance schedules and calendars with pools of certified/registered interpreters
- Follows up on cancellations or absent contract staff; makes changes and revisions to interpreter or court reporter schedules as needed; ensures employees and/or contract staff have appropriate certification
- Collects and maintains interpreter program data and record systems
- Reviews claims for payment of interpreting and court reporter services
- Perform a variety of duties pertaining to the Grand Jury
- Prepare jury statistical reports
- Serve as a resource for other employees on policies and procedures
- May provide lead direction to employees in specific job tasks, techniques, and assignments.
Employment Standards
EMPLOYMENT STANDARDS
Education: High school graduate or equivalent
Typing Speed:Type at a minimum speed of thirty-five (35) words per minute
Driver's License:Possession of a valid California driver's license may be required for some positions
Courtroom Support Coordinator I - Requires minimum of two (2) years of experience in court related functions
Courtroom Support Coordinator II - Requires minimum of (3-5) years of professional experience
including at least two (2) years' experience in courtroom support functions
Courtroom Support Coordina tor II I - Requires minimum of five (5) years in courtroom support functions
